Virtual Assistant for Electrical Services Company

We are seeking a highly organized and experienced Virtual Assistant to support our growing electrical services company. This remote position requires someone with proven experience in administrative operations, preferably within the construction, solar, or electrical industry.
Key Responsibilities
Administrative Management
- Manage daily administrative tasks and office operations
- Process and organize company documentation
- Handle general correspondence and communication
- Maintain organized filing systems (digital and physical)
Financial Operations
- Prepare and process invoices using Xero accounting software
- Handle billing inquiries and payment processing
- Assist with basic bookkeeping tasks
- Track project expenses and documentation
Communication & Scheduling
- Manage email correspondence and inbox organization
- Schedule appointments, site visits, and consultations
- Coordinate between team members, clients, and suppliers
- Handle customer service inquiries professionally
Industry-Specific Tasks
- Process electrical project documentation and permits
- Handle compliance paperwork and certifications
- Assist with project coordination and follow-up
- Manage service requests and work orders
Digital Marketing & Design
- Create social media content and manage online presence
- Design marketing materials using Canva
- Develop professional letter headers and company templates
- Create digital signatures and branded documentation
Calendar & Project Management
- Maintain executive and team calendars
- Track project timelines and deadlines
- Coordinate multiple ongoing electrical projects
- Schedule equipment deliveries and site inspections
Required Qualifications
Experience & Skills
- Minimum 2 years of virtual assistant experience
- Previous experience in solar, roofing, or electrical industry preferred
- Proficiency with Service Mate software (or similar field service management tools)
- Advanced skills in Xero accounting software
- Strong email management and communication skills
Technical Requirements
- Proficient in Microsoft Office Suite and Google Workspace
- Experience with Canva for graphic design
- Comfortable with digital document processing
- Reliable internet connection and professional home office setup

- Highly organized with excellent attention to detail
- Ability to multitask and prioritize in a fast-paced environment
- Strong written and verbal communication skills
- Self-motivated with ability to work independently
- Professional demeanor when interacting with clients and vendors
Preferred Qualifications
- Understanding of electrical industry terminology and processes
- Experience with permit applications and regulatory compliance
- Basic knowledge of project management principles
- Familiarity with electrical safety standards and procedures
