Virtual Assistant Quoting & Admin Support (Electrical Contracting)

A growing electrical contracting business based in Australia. With the company expanding quickly, the owner is seeking a dedicated Virtual Assistant to support quoting, pricing, and administrative tasks. This role will start part-time (20 hours per week) and potentially grow into a full-time position as responsibilities expand. The ideal candidate will help streamline operations, reduce admin bottlenecks, and free up the team to focus on delivering quality projects and scaling the business.

Key Responsibilities (Prioritized):

  • Enter and manage supplier pricing, markups, and catalog items in Simpro to complete the pricing catalogue.
  • Prepare, manage, and issue accurate quotes in Simpro, ensuring quick turnaround times.
  • Follow up on sent quotes via phone and email to improve client response rates and win more projects.
  • Assist with creating and processing invoices in Simpro as the role expands.
  • Manage inbound and outbound calls using Blackmagic AI, providing professional client support.
  • Provide administrative support to the in-house admin, relieving workload through ad hoc tasks.
  • Submit daily start/end reports through Microsoft Teams to keep the team updated.
  • Assist in building internal processes by drafting SOPs and training materials with Loom and SharePoint.

Qualifications (Prioritized):

  • Experience with Simpro is highly preferred.
  • Proven background as a Virtual Assistant or Admin Support in the trade/construction industry.
  • Excellent English communication skills (written and spoken), with confidence handling client calls.
  • Strong organisational skills with high attention to detail.
  • Ability to work independently, manage multiple tasks, and meet deadlines.
  • Tech-savvy, quick to learn new systems and software.

Nice-to-Haves:

  • Experience with Xero or other accounting/invoicing systems.
  • Prior quoting support and job costing experience in trades or construction.
  • Familiarity with creating SOPs and process documentation.
