ABOUT THE ROLE

We're looking for a proactive and self-motivated Digital Marketing & Admin Support Specialist to work with two Australian businesses. This dynamic role covers administration, marketing, and finance support—ranging from managing daily admin and billing tasks to creating and repurposing digital content. You'll play an important part in helping each business grow by leveraging digital tools, marketing automation, and AI solutions.

You'll support:

  • A marketing consultancy – focusing on LinkedIn content, podcast/video editing, and digital automation.
  • A construction company – supporting social media content creation and maintaining their WIX website.

Key Responsibilities

Administration & Finance

  • Manage email, calendar, scheduling, and general correspondence.
  • Maintain records, files, and finance-related admin tasks.
  • Prepare documents, reports, and presentations.

Marketing Execution

  • Develop and schedule content across LinkedIn (priority), plus Facebook, Instagram, and YouTube.
  • Repurpose content into social posts, graphics, and short-form videos.
  • Design and edit marketing materials using Canva and other tools.
  • Provide light copywriting support, campaign tracking, and reporting.

Podcast & Video (Client 1)

  • Edit podcasts (audio clean-up, intro/outro, show notes, publishing).
  • Edit video content (short-form clips, repurposing for social media).
  • Use tools such as Descript, OpusClip, or equivalent platforms.
  • Ensure brand consistency across all media formats.

Digital Platforms & Automation (Client 1)

  • Manage CRM and marketing automations within Go High-Level (GHL).
  • Support website updates (WordPress) and lead funnels (e.g., ScoreApp).
  • Build automations using Zapier, Make, or native integrations.
  • Identify and implement AI-enabled tools to drive efficiency and improve outputs.

Website & Social Media (Client 2)

  • Create and schedule engaging social media content.
  • Support website updates and content management within WIX.
  • Assist with digital marketing activities to support the builder's business.

Proactivity & Initiative

  • Work independently without the need for close supervision.
  • Anticipate needs, suggest improvements, and propose creative solutions.
  • Identify new tools, workflows, or marketing tactics to enhance efficiency and reach.
  • Serve as a reliable partner the business owners can count on.

Key Requirements

  • Proven experience in virtual assistance, operations, or digital marketing.
  • Proficiency in Go High-Level (essential).
  • Strong knowledge of LinkedIn and other digital marketing channels.
  • Skilled in Canva, content scheduling, and light copywriting.
  • Podcast and video editing experience (Descript, OpusClip, Adobe, or similar tools).
  • Experience with WIX (preferred for Client 2) and WordPress (preferred for Client 1).
  • Familiarity with automation platforms (Zapier, Make) and eagerness to learn new tools.
  • Confident using AI tools to streamline processes and improve outcomes.
  • Highly organised, detail-oriented, and proactive in problem-solving.
  • Strong written English and professional communication skills.
  • Independent, self-motivated, and able to deliver results without micro-management.
