Job Summary:

The Order Processing Coordinator is responsible for receiving and reviewing all requests, ensuring alignment with approved materials, equipment and services. This role requires meticulous attention to detail to validate that all information is complete and accurate. Once verified, the Coordinator forwards the request to the appropriate department—Procurement or Warehouse—for timely and efficient processing.

Key Responsibilities:

  • Receive and review all Requests submitted by departments or project teams over multiple companies and industries.
  • Verify Order details against the list of approved materials, budget allocations, or project plans to ensure validity.
  • Scrutinize requests for completeness, including item specifications, quantities, unit of measure, required delivery dates, and appropriate approvals.
  • Coordinate with requestors to resolve any missing or unclear information.
  • Route validated requests to the Procurement Team for purchasing or to the Warehouse for stock issuance, depending on availability and request type.
  • Track the status of submitted requests to ensure timely processing and escalate any delays as necessary.
  • Maintain accurate records of all orders handled and ensure proper documentation and filing for audit and tracking purposes.
  • Support procurement and warehouse teams by clarifying any request-related issues during processing.

Qualifications:

  • Proven experience in order management, procurement, supply chain and administrative coordination.
  • Strong attention to detail and organizational skills.
  • Ability to interpret material specifications and understand basic supply chain processes.
  • Excellent communication skills for coordination across departments.
  • Proficiency in using ERP systems and Microsoft Office tools.
