Responsibilities

  • Conduct weekly rent collection calls and prepare detailed reports on tenant follow-up efforts.
  • Support the Property Manager with scheduling and managing the full lifecycle of daily maintenance requests.
  • Coordinate with the facilities team, tenants, and third-party vendors to ensure timely completion of property maintenance.
  • Assist tenants with rent relief program applications and subsidy renewals (e.g., SCRIE, DRIE, Section 8).
  • Respond promptly and professionally to tenant calls, messages, and emails.
  • Maintain organized filing systems for both physical and electronic documents.
  • Schedule and coordinate meetings, including preparing agendas and distributing meeting minutes.
  • Collaborate with the Assistant Property Manager (APM) to draft, prepare, and distribute communications regarding building updates, utility shutdowns, and other property-related notices.
  • Prepare all required annual property registrations.
  • Ensure accuracy and completeness of building and tenant files.
  • Conduct periodic audits of tenant files.
  • Track and manage all contracts and insurance certificates.
  • Send tenant welcome packages (email and printed version placed in unit before move-in).
  • Provide weekly updates on the Group Master Tracker.
  • Support APMs with projects and day-to-day operational tasks.
  • Assist APMs with HPD violation corrections and certifications.
  • Update company shared sheets for the team as needed.
  • Participate actively in training and development initiatives.
  • Stay updated on new housing regulations, compliance requirements, and policy changes.
  • Assist with special projects as assigned.
  • Provide exceptional customer service to tenants and stakeholders.

Qualifications

  • 3–5 years of experience in property management or as a Property Management Virtual Assistant, with exposure to accounting tasks (e.g., invoice approvals) and customer service.
  • Preferably 2–3 years of experience working with U.S.-based clients.
  • Must be fluent in Mandarin.
  • Willing and able to work night shift (EST schedule).
  • Proficient in property management tools such as AppFolio, Yardi, Buildium, , 3CX, SiteComply (violation software), Google Workspace, Avid (invoice approval), Rent Manager, and related platforms.

Job Types: Full-time, Permanent

Pay: Php30, Php35,000.00 per month
