WHAT IS A/AN ACCOUNTS PAYABLE ASSISTANT?

Our client is an Australian window furnishings company with roots in Melbourne and a presence across Australia. They work on a variety of projects ranging from high end homes to large-scale commercial projects and pride themselves on delivering high-quality, design-led solutions. OVERVIEW

• End to end COGS supplier invoice entry:

  • Daily upload of purchase invoices (approximately 500 per week). This involves a data automation system and uploading the invoices via a combination of bulk CSV file upload and manual forwarding of invoices for upload. Once converted, the invoices are to be allocated to team members daily for their approval.

  • Assistance managing the approval process by operations team members.

  • Price checking invoices.

• Entering overhead invoices from a shared mailbox.

• Assistance with the weekly upload of installer invoices.

• Maintain suppliers:

  • Entering new suppliers

  • Liaise with suppliers in regard to credits and return of products

  • Liaising with team members regarding payments

• Assistance with month end reconciliations and reporting:

  • Review and reconciliation of supplier statements

  • Review and reconciliation of stock on hand

• Assisting finance team members on other ad-hoc projects

WHAT WILL BE YOUR MAIN RESPONSIBILITIES?

• COGS supplier invoices:

  • Ensure all invoices for the current week are uploaded into the data automation system and allocated to team members for approval.

  • Assist with weekly team review process of supplier and installer invoices.

  • Price checking

• Installer invoices

  • Assist with the upload of invoices into MYOB Advance

• Reporting:

  • Reconciliation of revenue and supplier invoices against the job reference on a weekly basis

  • Month End Reporting & Reconciliation

  • Review and reconciliation of supplier statements

  • Other adhoc reporting as required.

WHAT ARE WE LOOKING FOR?

• 3 years of Bookkeeping / Accounts Payable experience

• Preferably with MYOB Advance experience or any relevant ERP, Accounting, Invoice System

• Must have high proficiency in using Excel; VLOOKUP, Pivot Tables, Formulation, etc.

• Above average communication skills (written and oral)
