Job Summary

The Payroll Specialist is responsible for ensuring accurate and timely processing of employee payroll in compliance with company policies, government regulations, and statutory requirements. This role manages end-to-end payroll processes, maintains payroll records, reconciles payroll data, and provides support to employees on payroll-related inquiries. The Payroll Specialist works closely with HR, Finance, and other stakeholders to ensure smooth payroll operations.

Key Responsibilities

Payroll Processing

  • Process payroll accurately and on schedule for all employees.
  • Calculate wages, overtime, deductions, benefits, and government contributions.
  • Ensure compliance with tax laws, labor regulations, and statutory reporting requirements.

Data Management & Reconciliation

  • Maintain accurate and updated payroll records in HRIS/Payroll systems.
  • Reconcile payroll transactions and resolve discrepancies.
  • Prepare payroll reports for management review and statutory submissions.

Compliance & Reporting

  • Ensure adherence to company policies and labor laws regarding wages and benefits.
  • Prepare and file government reports such as SSS, PhilHealth, Pag-IBIG, and tax filings (or local equivalents).
  • Support audits by providing accurate payroll data and documentation.

Employee Support

  • Respond to employee inquiries regarding salaries, deductions, and other payroll concerns.
  • Provide clear and timely communication on payroll policies and updates.

Continuous Improvement

  • Recommend process improvements to enhance payroll accuracy and efficiency.
  • Stay updated with changes in payroll regulations and labor laws.

Qualifications

  • Bachelor's degree in Accounting, Finance, Human Resources, or a related field.
  • 2–4 years of payroll experience, preferably in a shared services, HR, or finance environment.
  • Strong knowledge of payroll processes, statutory benefits, and local labor laws.
  • Proficiency in payroll systems and MS Excel; experience with HRIS or ERP systems is an advantage.
  • High attention to detail, accuracy, and confidentiality.
  • Strong analytical, organizational, and time management skills.
