We are a California-based firm specializing in A&E services for the telecom industry. We are seeking a reliable and detail-oriented
Project Closeout Assistant
based in the
Philippines (NCR)
to support our U.S. project teams remotely. This role supports the completion and documentation of telecom construction projects by collecting, organizing, and submitting all required closeout materials. This role works closely with project coordinators, field engineers, and subcontractors to ensure timely and accurate project turnover packages.

Key Responsibilities

  1. Closeout Package Preparation

Collect and compile all required documents, including as-built drawings, final site photos, permits and inspection approvals, material receipts and equipment serial numbers and sign-off sheets and punch list resolutions

  1. Document Compliance

Review all submissions for completeness and compliance with client-specific requirements.

Maintain version control, file naming conventions, and formatting standards.

  1. Coordination with Teams

Interface with Project Managers, Field Supervisors, Engineers, and Subcontractors to gather needed documents.

Follow up regularly to ensure timely submission of pending closeout items.

  1. Quality Control

Perform thorough QC checks on photos, test results, and drawings for accuracy and legibility.

Flag discrepancies or missing items and coordinate corrections.

  1. Database & File Management

Upload documents to client portals or internal systems (e.g., Quickbase, SharePoint, or client-specific platforms).

Maintain organized folders and trackers for each site or project.

  1. Reporting & Status Updates

Provide regular updates to project managers on closeout progress and outstanding items.

Generate completion reports or dashboards if required.

  1. Process Improvement

Help improve or streamline the closeout documentation process.

Create or maintain standard templates, photo guides, and checklists.

Qualifications:

  • Bachelor's degree required
    , preferably in Telecoms Engineering, or a related field.
  • At least 3 years of experience in a project coordination, administrative, or documentation support role in
    RF and /or Fiber Deployment Field
  • Strong proficiency in Microsoft Office (Excel, Word, Outlook) and cloud file-sharing platforms (e.g., Google Drive, OneDrive, Dropbox).
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple tasks and prioritize deadlines in a fast-paced environment.
  • Good communication skills, both written and verbal.
  • Familiarity with project management tools is a plus.

Preferred Attributes:

  • Experience with telecom site build closeouts, fiber upgrades, or infrastructure documentation.
  • Ability to interpret engineering drawings and as-builts is a bonus.
  • Self-starter with a proactive attitude and the ability to work independently.
