About the Role

Phitopolis is seeking an HR Admin Assistant to provide comprehensive administrative and HR support to the Support Services team. The role is responsible for assisting with day-to-day HR and operational tasks, maintaining accurate records, coordinating employee-related processes, and ensuring that business operations run efficiently. The ideal candidate is a dependable team player with strong organizational skills, attention to detail, a positive attitude, and a willingness to learn and adapt in a fast-paced environment.

Responsibilities

  • Monitor and update attendance records and prepare required reports
  • Handle timekeeping-related tasks
  • Assist in scheduling candidates' interviews and updating recruitment trackers
  • Ensure all HR and administrative trackers are updated accurately and on time
  • Collect, track, and monitor the completion of employee requirements
  • Ensure all pre-onboarding requirements and processes are completed prior to a new hire's start date
  • Assist with document filing and record management
  • Support the planning and preparation of company events and activities
  • Perform ad hoc duties as assigned

Required for the Role

  • Graduate of Psychology, Business Administration, or other relevant courses (preferred)
  • At least 1+ year of experience in a similar role
  • Knowledge or familiarity with HR and Admin processes
  • Highly organized and a quick learner
  • Has strong attention to detail
  • Has self-initiative with a strong sense of accountability
  • Creative and resourceful
  • Experience or familiarity with Google Workspace is required
  • Experience with Canva, Adobe editing software, and other AI tools is preferred
  • Willing to work on-site daily at our BGC office
