Are you a detail-driven communicator who loves keeping things moving behind the scenes We're looking for a Strategic Sales Coordinator to support our Strategic Sales Executive in managing leads, scheduling appointments, prepping presentations, and keeping our CRM squeaky clean.

This role is all about precision, speed, and proactive follow-through — ensuring every lead is nurtured, every meeting is prepped, and every opportunity flows smoothly through the pipeline.

What You'll Do

Lead Management & Outreach

  • Follow up on warm leads and inbound inquiries to qualify interest and book appointments
  • Build outbound prospect lists and research company details, decision-makers, and market info
  • Launch and monitor outbound email sequences in HubSpot, optimizing for engagement
  • Conduct light lead qualification before routing to the Strategic Sales Executive

Scheduling & Meeting Coordination

  • Schedule discovery calls, demos, and presentations
  • Confirm attendance, send reminders, and prep pre-call briefs
  • Capture meeting notes, document next steps, and log follow-ups in HubSpot

CRM Management (HubSpot)

  • Keep contact and deal records accurate and up-to-date
  • Maintain data hygiene and ensure deal stages reflect real-time progress
  • Generate reports and dashboards to track pipeline activity and conversion

Presentation & Proposal Support

  • Assist in creating pitch decks, pricing sheets, and proposals
  • Tailor materials by industry or client need while maintaining brand consistency
  • Manage a centralized content library for sales collateral

RFP, Contract & Compliance Coordination

  • Prepare and send contract templates via HubSpot
  • Support intake of NDAs, BAAs, and InfoSec documents
  • Coordinate with Legal, IT, and Ops to meet documentation deadlines
  • Maintain a tracker of open requests and client documentation status

Reporting & Admin Support

  • Update weekly pipeline summaries for review meetings
  • Support marketing campaigns, webinars, and events with target lists and RSVPs
  • Submit Job Order forms to Talent Acquisition with full client scope

What You Bring

  • 2–3 years of experience in sales support, lead generation, or executive coordination
  • Hands-on experience with HubSpot CRM and outbound campaign tools
  • Strong written and verbal communication skills
  • High attention to detail and data accuracy
  • Advanced organizational skills and deadline management
  • Proficiency in Microsoft Office
  • Self-starter with initiative, accountability, and a collaborative mindset
