Job Summary

We're looking for a proactive and organized Logistics Coordinator VA to assist with managing daily shipping, receiving, and vendor coordination. This role involves arranging pickups, evaluating shipping options, updating ERP records, and ensuring timely movement of goods with proper documentation.

Key Responsibilities

  • Schedule and confirm pickups and deliveries, ensuring the accurate receipt of goods.
  • Communicate with freight partners via email to compare shipping rates and identify the best routes.
  • Record all inbound and outbound transactions in the ERP and maintain complete audit trails.
  • Track variations and verify shipping documents before dispatch.
  • Manage exceptions, follow escalation procedures, and keep stakeholders updated on any issues.

Mandatory Skills

  • Strong organizational and coordination skills with excellent follow-through.
  • Experience working with spreadsheets and business systems for data entry.
  • Clear and professional communication skills in English.
  • Excellent attention to detail and time management.
  • Familiarity with logistics and transportation management systems (TMS).
  • Able to handle time-sensitive tasks and solve logistical challenges with efficiency.

Preferred Skills

  • Experience in logistics, supply chain, or fulfillment support.
  • Knowledge of ERP platforms like NetSuite or similar systems.
  • Understanding of U.S. shipping practices and basic cost comparisons.
  • Familiarity with international shipping regulations and compliance.
  • Experience with rate comparison tools and shipment tracking systems.
