Supply Chain Administrative Assistant

JOB SUMMARY

A Supply Chain Administrative Assistant supports logistics and procurement operations by handling key administrative tasks such as inventory tracking, order processing, and vendor coordination.

JOB RESPONSIBILITIES:

  • Order Management: Process purchase orders, confirm deliveries, and maintain accurate records of shipments and receipts.
  • Inventory Control: Monitor stock levels, reconcile inventory records, and flag shortages or excesses.
  • Vendor Coordination: Communicate with suppliers to ensure timely deliveries and resolve any logistical issues.
  • Documentation: Prepare contracts, invoices, and shipping documents; ensure compliance with internal and external requirements.
  • Data Entry & Reporting: Maintain databases, generate reports on supply chain metrics, and support audits.
  • Cross-Functional Support: Collaborate with warehouse, transportation, and procurement teams to streamline operations.

JOB QUALIFICATIONS

  • Bachelor's Degree in Business Administration, Logistics or related field.
  • 1-3 years in administrative or supply chain support roles is often preferred
  • Attention to Detail: Accuracy in data entry and document handling is critical.
  • Organizational Skills: Ability to manage multiple tasks and prioritize effectively.
  • Communication: Strong written and verbal skills for liaising with internal teams and external vendors.
  • Tech Proficiency: Familiarity with ERP systems, spreadsheets, and inventory management software.
  • Problem-Solving: Capable of identifying and resolving supply chain bottlenecks.
