Job Summary:

The Logistics Officer is responsible for overseeing the efficient coordination and execution of order deliveries, maintaining communication with clients, scheduling dispatches, supervising logistics personnel, and ensuring the operational readiness and maintenance of the company's fleet. The role is critical in ensuring timely, cost-effective, and high-quality delivery services that meet client expectations.

Key Responsibilities:

  1. Client Coordination & Order Management

  2. Act as the primary point of contact for clients regarding order status, delivery updates, and service requirements.

  3. Confirm order details, delivery locations, and special handling requirements.

  4. Address and resolve client concerns and delivery issues in a timely manner.

  5. Delivery Scheduling

  6. Plan and schedule daily delivery routes based on client orders, locations, and fleet availability.

  7. Optimize delivery runs for efficiency, fuel cost, and time.

  8. Adjust schedules as needed for rush orders, cancellations, or unforeseen delays.

  9. Personnel Supervision

  10. Manage and coordinate the daily tasks of drivers and delivery staff.

  11. Monitor driver performance and compliance with delivery procedures and safety regulations.

  12. Conduct regular briefings and assign responsibilities based on workload.

  13. Fleet Management & Maintenance

  14. Oversee the condition and performance of delivery vehicles.

  15. Ensure vehicles undergo regular preventive maintenance, repairs, and inspections.

  16. Maintain accurate records of fleet servicing schedules, expenses, and usage logs.

  17. Documentation & Reporting

  18. Prepare and maintain delivery logs, dispatch records, and incident reports.

  19. Ensure all delivery documentation (delivery receipts, proof of delivery) is collected and filed appropriately.
  20. Submit weekly and monthly reports on delivery performance, fleet status, and client feedback.

Qualifications:

  • Bachelor's Degree in Logistics, Supply Chain Management, Business Administration, or a related field.
  • At least 2–3 years of experience in logistics coordination or fleet management.
  • Strong communication and client-handling skills.
  • Proficiency in logistics software, route planning tools, and Microsoft Office.
  • Knowledge of vehicle maintenance and transport regulations is a plus.
  • Leadership skills and the ability to manage a team effectively.
