Job Description:

The Finance Officer is responsible for managing all day-to-day financial transactions related to both the customer and supplier accounts at our company. This includes full accountability for processing invoices, collecting payments, executing payments, and maintaining accurate financial records. The role also oversees credit  control activities, such as assessing creditworthiness, following up on outstanding payments, and supporting  debt recovery actions where necessary. The Finance Officer plays a critical role in maintaining a healthy cash  flow and ensuring financial processes are accurate, efficient, and aligned with company goals.

Key Responsibilities:

  • Monitor and follow up on outstanding payments and aged debt
  • Conduct credit checks and assess risk for new and existing customers
  • Negotiate and manage payment plans as required
  • Liaise with solicitors or enforcement partners for debt recovery when appropriate
  • Receive, verify, and process supplier invoices
  • Schedule and execute timely supplier payments in line with agreed terms
  • Resolve invoice discrepancies with customers and suppliers
  • Maintain accurate records of all financial transactions
  • Manage the finance inbox and respond to internal and external queries
  • Prepare and present regular financial reports, including aged debt, DSO, and payment performance
  • Support process improvements in credit control and finance operations
  • Ensure compliance with internal policies and assist with audits
  • Assist with monthly and year-end closing activities, ensuring accuracy of accruals, prepayments, and  reconciliations.
  • Support the Finance Controller in preparing management accounts and audit documentation.
  • Willingness to contribute to the company-wide financial performance, which is rewarded via the all staff GBS Bonus Scheme.

Technical Skills:

  • Understanding of accounting principles and financial software.
  • Ability to interpret and analyse data.
  • Generate and present reports to management.
  • Meticulous attention to detail and data entry skills
  • Experience with reconciliations (bank, supplier, customer)
  • Proficiency in intermediate Excel (e.g. pivot tables, formulas, lookups)
  • Awareness of VAT codes and correct financial coding practices
  • Experience using accounting or ERP systems (e.g. Sage, Xero, QuickBooks, or similar), including importing/exporting data and reconciling with CRM or operational platforms.

Knowledge:

  • Fundamental principles of accounting
  • Familiarity with financial systems and software applications.
  • Knowledge on how to address non-compliance with collection policies or procedures
  • Understanding if Profit & Loss (P&L) statement.
  • Understanding the importance of privacy and confidentiality.
  • Understanding of UK financial compliance (e.g. GDPR, Prompt Payment Code)
  • Awareness of HMRC regulations, VAT submissions, and internal approval workflows.
  • Understanding of how finance interacts with operational and commercial functions to support business performance.
  • Knowledge of internal controls and audit documentation requirements

Qualifications:

  • AAT Level 3–4 (or equivalent experience) desirable
