Role Summary

The Managing Litigation Attorney will be responsible for overseeing workflow execution, improving legal processes, and maintaining operational excellence across all stages of litigation. This role requires strong expertise in project management, process optimization, data analysis, and experience working in a legal or law firm setting—preferably within personal injury or other high-volume litigation teams.

The ideal candidate is analytical, organized, proactive, and capable of leading cross-functional initiatives that enhance efficiency, compliance, and performance within the Litigation Department.

Key Responsibilities
Litigation Workflow & Process Management

• Oversee and optimize workflows across all litigation phases (pre-litigation, discovery, motions, trial preparation).
• Maintain and update SOPs, process maps, and departmental playbooks.
• Identify bottlenecks and implement solutions to improve turnaround times and case progression.
• Collaborate with attorneys, paralegals, case managers, and support teams to ensure aligned timelines and deliverables.

Data Analysis & Reporting

• Analyze case movement, performance metrics, deadline compliance, and key litigation indicators.
• Build and maintain dashboards to track productivity and department health.
• Provide weekly and monthly insights highlighting trends, risks, and opportunities for improvement.
• Conduct deep-dive audits on litigation tasks, timelines, and duration of case stages.

Project Management

• Lead at least one major improvement initiative per quarter (e.g., workflow automation, documentation optimization, trial prep enhancements, compliance projects).
• Define project scope, timelines, milestones, and stakeholder assignments.
• Coordinate cross-department collaboration to drive project outcomes.
• Monitor progress, risks, and deliverables to ensure timely and high-quality results.

Compliance, Auditing & Quality Control

• Ensure compliance with litigation deadlines, tasks, and workflow requirements.
• Perform case audits to assess accuracy, documentation completeness, and adherence to policies.
• Develop corrective action plans for compliance gaps or quality concerns.
• Manage audits related to performance-based incentive structures.

Cross-Functional Collaboration

• Work closely with Litigation, Operations, Intake, and Data teams to align legal and operational strategies.
• Support legal teams by converting operational insights into actionable improvements.
• Facilitate training sessions, calibrations, and feedback loops.

Reporting & Communication

• Prepare weekly reports for leadership.
• Deliver monthly business review summaries with clear insights and data visualizations.
• Present findings and recommendations in a concise and actionable manner.

Qualifications & Experience

• Licensed Lawyer or Bar Passer (highly preferred).
• Bachelor's degree in Business, Project Management, Legal Studies, or related field.
• Experience in legal operations or law firm environments, especially in high-volume litigation; experience managing 15–20+ team members is a strong advantage.
• Minimum of 5 years of experience in legal operations or law firm environments is required for this position.
• 5–7+ years in project management, process improvement, or legal operations.
• Demonstrated success optimising workflows in fast-paced or high-volume settings.
• Experience with legal case management systems (e.g., Filevine, LeadDocket) — minimum 2 years preferred.
• Strong analytical skills with experience in dashboards, reporting, and KPI monitoring.

• Technical proficiency in:

• Automation tools (Zapier, Power Automate, Make)

• API integrations
• SQL or advanced Excel/Google Sheets
• Proficiency in all specified technical areas including automation tools, API integrations, and SQL or advanced Excel/Google Sheets is required.
• Excellent communication and stakeholder management skills.
• Certifications such as PMP or Lean Six Sigma Black Belt preferred.

• Experience leading software implementations or workflow automation projects.
• Background in business intelligence, analytics, or performance optimisation.
• Ability to work under pressure and manage multiple deadlines.
