About the Role

We are seeking an Accounting & Admin professional to support our hospitality group's financial operations, purchasing functions, and general administration. This role ensures accurate accounting processes, effective coordination with stakeholders, and smooth administrative support across business units.

Key Responsibilities
1. Accounts Receivable
  • Process AR transactions, issue invoices, and coordinate with all business units.
  • Prepare daily and monthly AR statements and journal entries.
  • Handle check deposits, bank runs, and documentation.
  • Conduct AR follow-up, monitor aging, and generate analysis reports.
  • Perform AR-related bank reconciliations and adjustments.
  • Issue receipts, tax invoices, credit notes, and prepare Output VAT reports.
  • Validate deposit refunds and prepare approval recommendations.
2. Accounts Payable
  • Manage AP, GL, and cash-related accounting functions.
  • Record goods receiving and cost/expense entries.
  • Process payment runs via accounting system and online banking.
  • Reconcile AP balance sheet accounts.
  • Prepare WHT (2307), SSS, and other tax reports in coordination with the accounting firm.
3. Non-Finance Administrative Tasks
  • Coordinate financial information with HQ, accounting firms, and government offices.
  • Visit assigned properties 2–3 times per week after opening.
  • Claim allowable travel expenses as per company policy.
4. Purchasing
  • Source, compare, and negotiate with suppliers for hotel, F&B, housekeeping, and office needs.
  • Request quotations and issue purchase orders.
  • Maintain purchasing records in the system.
  • Ensure compliance with purchasing policies.
  • Monitor inventory levels with storekeepers and department heads.
  • Maintain strong supplier relationships.
5. General Administration
  • Manage office supplies, utilities, and equipment coordination.
  • Handle filing, documentation, and contract records.
  • Coordinate with service providers (IT, maintenance, contractors).
  • Assist in permits, licensing, and compliance renewals.
  • Support hotel operations with administrative tasks.
  • Prepare memos, letters, and internal communications.
6. HR Support
  • Assist with staff benefits and statutory requirements (SSS, PhilHealth, Pag-IBIG).
  • Provide admin support for HR events and training.
  • Assist in arranging uniforms, staff ID, and name tags.
Qualifications
Must-Haves
  • Bachelor's degree in Accounting, Business, or related field
  • Strong English communication skills (Business Level)
  • Proficient in MS Excel and PowerPoint
  • Basic design skills (Canva)
  • Able to work flexible hours when necessary
  • Willing to travel for business needs

Compensation & Benefits
  • Basic Salary: PHP 18,000 – 20,000/month (depending on experience)
  • Allowance: PHP 1,700/month (mobile)
