A well-established mental health and wellness practice, refined over four years of successful patient care, is seeking a detail-oriented professional to join their team. The practice serves patients through a dedicated group of doctors and nurse practitioners, with a strong emphasis on seamless access to care through effective insurance credentialing and administrative excellence.

You'll play a critical role in supporting healthcare providers by managing the essential behind-the-scenes operations that make quality patient care possible. This position blends specialized insurance credentialing expertise with comprehensive medical administrative support, allowing you to directly impact patient access to mental health services. You'll work within proven systems while collaborating with an experienced virtual assistant team that values training, efficiency, and professional growth.

Responsibilities

  • Manage insurance credentialing and paneling processes for new healthcare providers (doctors and nurse practitioners).

  • Handle patient scheduling and appointment coordination through established systems.

  • Process patient co-payments and manage payment collection procedures.

  • Verify insurance coverage and benefits for incoming patients.

  • Respond to phone calls and emails using professional medical communication standards.

  • Support front desk operations and general administrative functions.

  • Collaborate with virtual assistant team members on training and workflow optimization.

  • Maintain operational efficiency within established practice management systems.

  • Assist with onboarding new providers to ensure smooth integration with insurance networks.

Requirements

  • Minimum of 3 years of medical administrative experience with a background in insurance credentialing (required).

  • HIPAA certification (required).

  • Experience with insurance paneling and provider credentialing processes.

  • Strong communication skills for patient and provider interactions.

  • Ability to work consistently during Eastern Time zone business hours.

  • Bonus: Experience in a mental health practice.

  • Familiarity with EMR systems is helpful (training provided for iCann Notes).

  • Reliability and attention to detail when handling sensitive medical information.
