People Business Partner Specialist

The People Business Partner Specialist collaborates with leaders across the business to ensure our people-related processes and practices are transparent, correctly implemented and fully compliant with local legislation. They aim to create a fair and balanced work environment for all our team members.
With a deep understanding of our business goals and operational environment, the People Business Partner Specialist will develop people-related strategies, policies and practices to support our team members to achieve our goals. This role will be responsible for managing our Human Resources Information System (HRIS), overseeing timekeeping processes to ensure accuracy, efficiency, compliance with company policies and regulations, and administering and resolving minor employee disciplinary matters in alignment with established guidelines.
What you'll do
Case Management:
- Process non-terminable employee disciplinary and conduct cases promptly. Guide stakeholders through the disciplinary process, referencing local and global policy handbooks.
Policy Rollout and Compliance:
- Ensuring timely rollout of updated policies and procedures throughout the organization.
- Communicating policy changes effectively to stakeholders and ensuring understanding and compliance.
Process Improvement and Policy Development:
- Reviewing current processes and policies to align with organizational needs and industry best practices.
HR Sessions and Counseling:
- Conducting one-on-one and/or focus group sessions with agents and non-agents to provide technical support and counseling on HR-related matters.
- Fostering a positive working relationship between HR and line management.
Resolution of Concerns:
- Addressing and resolving concerns raised promptly to minimize escalations and ensure prompt resolution of employee issues.
Partnership and Collaboration:
- Improving communication, mutual understanding, and alignment between HR and business functions.
Employee Engagement Initiatives:
- Contributing to planning, organizing, and implementing employee engagement activities within the organization.
- Involvement in initiatives such as team-building events, wellness programs, and recognition programs to enhance employee satisfaction and motivation.
Program Development and Administration:
- Develop and administer programs, procedures, and guidelines to make business goals relatable and achievable for team members, managers, and the leadership team.
- Actively seek insights and feedback from team members, partnering with local stakeholders to identify opportunities and create a more cohesive workplace experience.
Policy Deployment and Enhancements:
- Oversee policy deployment and enhancements, ensuring clear and comprehensive communication plans and feedback mechanisms are in place for successful implementation.
- Lead the performance management process for the site, ensuring regular meetings, reporting, and tracking for timely case management.
Employee Relation Strategies:
- Ideate and develop employee relation strategies to embed a positive employer-employee relationship that increases morale, engagement, and retention targets.
- Act as a knowledgeable and reliable point of contact for managers of all levels on all aspects of labor and employment law.
HRIS Management:
- Administer and maintain the HRIS database, including data entry, updates, and accuracy verification.
- Configure and customize the HRIS system to meet the organization's needs, including workflows, reporting, and security settings.
- Troubleshoot and resolve technical issues related to the HRIS system, collaborating with IT support as needed.
- Generate reports and analyze data from the HRIS to support strategic decision-making and compliance requirements.
- Stay informed about industry trends and best practices in HR technology and recommend enhancements or upgrades to the HRIS system as needed.
- Maintain data integrity in systems by regularly analyzing data.
- Assessing and managing the efficiency and success of offboarding processes using the HR Information System
Timekeeping Administration:
- Oversee timekeeping processes, including timesheet submission, approval, and payroll integration.
- Ensure accuracy and completeness of timekeeping records, resolving discrepancies and addressing issues promptly.
- Verify attendance, hours worked, and pay adjustments, and post information onto designated records.
- Resolve payroll discrepancies or disputes in a timely manner.
- Review and update timekeeping policies and procedures to ensure compliance with labor laws and company policies.
- Train employees and managers on timekeeping policies, procedures, and use of timekeeping software.
- Coordinate with the payroll department to ensure timely and accurate processing of employee time and attendance data.
- Conduct audits and analysis of timekeeping data to identify trends, discrepancies, and areas for improvement.
What you'll need to succeed
- Bachelor of Science in Psychology graduate or any Behavioral Science or Management Course
- Highly adept in Google Suite
- Basic to advanced knowledge in HR facets such us but not limited to Employee Engagement, Employee and Labor Law, System Administration.
- Analytical and creative with positive influencing skills
- Strong English communication skills.
- Amenable to work on shifting schedules
