We are seeking a highly organized, proactive, and bilingual (English/Spanish) Administrative Assistant to support our property management division.

Our mission is to empower property owners and investors by offering top-tier support that ensures lightning-fast, high-quality service in a virtual environment. As a key member of our team, you will act as a vital liaison between our management, tenants, and maintenance crews.

Key Responsibilities

As a member of our team, you will play a pivotal role in managing our rental portfolio from a remote setting:

  • Tenant & Resident Relations: Serve as the primary point of contact for inquiries and concerns in both English and Spanish; investigate and resolve issues while enforcing occupancy regulations.

  • Leasing Support: Assist in remote lease negotiation, creation, and enforcement; secure signed contracts and promote property vacancies on various online platforms.

  • Market Analysis: Help determine rental rates by assessing local market conditions and trends across various regions.

  • Maintenance & Repairs Coordination: Remotely coordinate property repairs and track "make-ready" progress with local vendors to ensure units get back on the market quickly.

  • Utility & Insurance Management: Oversee property utilities (electricity, water, gas) and manage property insurance protocols for company-owned assets.

  • Data & Software Management: Update property management platforms and generate insightful reports by analyzing data and trends.

  • Bilingual Communication: Facilitate clear communication and documentation between non-Spanish speaking managers and Spanish-speaking vendors/tenants.

  • General Administration: Handle phone calls, emails, scheduling, and provide exceptional customer support using cloud-based tools.

Requirements:

  • Fluency: Native or professional-level fluency in both English and Spanish (written and verbal) is strictly required.

  • Experience: 2+ years of administrative experience, preferably in property management or real estate.

  • Technical Skills: Proficiency in Google Workspace and a quick learner of new software platforms and remote working tools (e.g., ClickUp, Rentvine, etc.).

  • Remote Workspace: Must have a reliable high-speed internet connection and a quiet professional environment for handling calls. Must be okay with being on a time tracking system during working hours.

  • Attributes: Strong multitasking abilities, excellent conflict-resolution skills, and a "can-do" attitude.

  • Organization: High attention to detail with the ability to manage multiple moving parts of a property portfolio simultaneously.
