Remote Accounting Assistant

We are seeking a motivated and detail-oriented Remote Accounting Assistant to join our team at Premium Fence, a leading Canadian manufacturer of innovative fencing solutions.
Position Overview:
The Accounting Assistant will support the company accountant in maintaining accurate financial records, managing accounts receivable and payable, and performing daily bookkeeping tasks. This position is responsible for ensuring accuracy, timeliness, and consistency in all accounting activities while providing excellent communication with vendors, customers, and internal team members.
Key Responsibilities:
Accounts Receivable & Collections
Generate and send customer invoices in a timely manner.
- Record customer payments and reconcile accounts receivable balances.
- Monitor outstanding invoices and aging reports.
- Contact customers via phone and email to follow up on payments and resolve delinquent accounts.
Maintain accurate documentation of collection activities and communications.
Accounts Payable & Expense Management
Review and process vendor bills, credit card payments, and employee expense reports.
- Reconcile vendor statements to vendor bills and resolve discrepancies.
- Maintain and update vendor files and payment records.
Assist with timely vendor payments in accordance with company policies.
Bookkeeping & Financial Support
Record daily financial transactions and post journal entries.
- Reconcile bank and credit card statements monthly.
- Support month-end and year-end closing processes.
Prepare and maintain supporting schedules and reports as requested by the accountant.
Reporting & Analysis
Prepare weekly and monthly AR/AP and cash flow summary reports.
- Assist in generating management reports and financial summaries.
Track and highlight key accounting metrics such as overdue accounts and vendor spend.
Process Improvement & Internal Controls
Assist in documenting and improving accounting procedures.
- Ensure accuracy and completeness of financial data.
Maintain internal control processes and ensure compliance with company policies.
Compliance & Audit Support
Prepare and organize supporting documentation for audits or tax filings.
- Ensure accounting records comply with relevant accounting standards.
Maintain an organized and secure digital filing system.
Communication & Collaboration
Coordinate closely with the accountant to ensure correct coding and categorization of transactions.
- Communicate proactively about missing documents, payment discrepancies, or overdue items.
- Participate in weekly or biweekly accounting meetings via video call.
Maintain professional communication with internal staff, customers, and vendors.
Systems & Software
Use and maintain accuracy between Sage 50, QuickBooks Online, and Google Workspace.
- Assist in software integration or migration projects when needed.
- Use project management tools such as Slack, Asana, or ClickUp for task tracking and communication.
Key Performance Indicators (KPIs):
- 90% of AR aging under 30 days.
- Vendor payments processed within 3 business days of approval.
- Bank and credit card reconciliations completed accurately and on time each month.
- Financial reports submitted by agreed deadlines.
- Zero missed follow-ups on outstanding invoices.
Qualifications
- Associate's or Bachelor's degree in Accounting, Finance, or related field (preferred).
- Minimum of 2 years of experience in bookkeeping or accounting support roles.
- Proficient in Sage 50 and QuickBooks Online.
- Strong working knowledge of Microsoft Excel and Google Workspace.
- Excellent written and verbal English communication skills.
- Strong attention to detail, accuracy, and confidentiality.
- Ability to manage multiple priorities and meet deadlines in a remote environment.
- Experience working with North American clients or accounting practices is an asset.
- Reliable high-speed internet connection and a dedicated remote workspace.
