Sales Assistant

The Opportunity

Join the dynamic team at Kintetsu World Express Phils., Inc. as a Sales Assistant. In this hands-on role, you will be responsible for providing exceptional customer service and support to our valued clients. As part of our retail operations, you will play a crucial part in driving sales and maintaining our high standards of excellence.

Key Responsibilities

• Prepares quotations and proposals based on instructions from Sales Personnel or guideline rates.
• Sets appointments on behalf of Sales Personnel when they are preoccupied with urgent matters.
• Prepares, revises, and disseminates CIS based on approved quotations and instructions from Sales Personnel; also participates in CIS audits.
• Receives bookings from clients and forwards them to the Booking and Monitoring Assistant (MNL EXP), with copies furnished to Logistics/Customer Service; updates clients on flight details in a timely manner.
• Coordinates with the CS Assistant (Head Office) regarding shipment status and provides updates to clients, foreign counterparts, Sales Personnel, and branch operations.
• Requests PODs from foreign counterparts and informs clients when required.
• Coordinates with clients regarding document or cargo irregularities and advises concerned departments on the final disposition based on client or branch instructions.
• Coordinates with clients and branches regarding document or cargo irregularities and informs the CS Department (HO), Branch Operations Supervisor, and Sales Personnel.
• Prepares and submits reports as required by clients.
• Contacts clients regarding potential bookings for the day.
• Provides flight information to clients.
• Follows up the status of shipments for pick-up clients.
• Follows up shipment details from Head Office.
• Files all quotations and correspondence for the assigned area.
• Maintains organized filing of documents on a per-client basis.
• Sends AWBs and other required documents to clients and counterparts via email or fax as needed.
• Coordinates with the Document Processor – Import regarding shipment status and updates the Import Assistant (Air and Sea), Operations Branch, and Sales Personnel on all developments.
• Assists Branch Operations Personnel when needed.
• Coordinates with clients regarding dock readiness, pick-up schedules, mode of release (BD/FD), and delivery arrangements.
• Coordinates with Manila Operations (Export and Import) for pick-up and delivery of shipments.
• Performs other duties as may be assigned from time to time.

What We're Looking For

• Previous experience in a freight forwarding industry
• Strong communication and interpersonal skills, with the ability to interact with customers in a friendly and professional manner
• Excellent problem-solving and decision-making abilities, with a focus on providing exceptional customer service
• Demonstrated ability to work effectively as part of a team, contributing to a positive and collaborative work environment
• Flexibility to work a variety of shifts, including evenings and weekends, to meet the needs of our customers
• Proficiency in the local language and a good understanding of English is preferred
