
Sales Support Specialist

The Sales Support Specialist plays a vital role in supporting and driving the company's sales operations. This position is responsible for ensuring smooth end-to-end sales processes, from managing documentation and purchase orders to actively contributing to business growth initiatives such as lead sourcing, lead generation, and marketing presentations. The Sales Support Specialist serves as a key liaison between customers, internal teams, and the Sales and Marketing Department, with a strong focus on efficiency, accuracy, and delivering an excellent customer experience. Ultimately, the goal of this role is to support revenue growth while ensuring customer satisfaction and compliance with company standards.
Duties and ResponsibilitiesSales Order & Documentation Management
- Streamline the processing of purchase orders (P.O.s) to ensure on-time delivery and proactively address any issues during the pre-sales preparation phase.
- Prepare, review, and maintain sales-related documents, including quotations, purchase orders, and contracts, ensuring compliance with company policies and customer requirements.
- Verify accuracy of purchase orders (products, pricing, delivery schedules) and coordinate with customers and internal teams to resolve discrepancies.
- Acknowledge and provide timely responses to customer inquiries such as RFQs, delivery dates, and project status updates.
- Manage and update customer accounts in the CRM system, ensuring accuracy of records and proactive handling of issues.
- Serve as a primary point of contact for account-related matters, documentation, and sales support inquiries.
- Handle customer complaints and feedback with professionalism, ensuring swift resolution and sustained customer satisfaction.
- Actively participate in lead sourcing and lead generation activities to support new business opportunities.
- Assist in preparing and delivering marketing and product presentations to potential and existing clients.
- Conduct project briefings for New Product Development (NPD) items and provide updates on sales generation initiatives.
- Collaborate with the Sales Management and Business Development teams by sharing progress updates, addressing concerns, and supporting account strategies.
- Track and monitor sales forecasts, ensuring data accuracy to support informed, data-driven decisions.
- Provide regular updates to the Sales and Business Development teams regarding account status, opportunities, and potential risks.
- Ensure account-specific concerns are properly endorsed to the Sales Engineer and Sales Planner for complete resolution.
- Work closely with internal departments (logistics, production, and finance) to ensure smooth fulfillment of customer requirements.
- Support marketing initiatives by preparing presentations, sales materials, and product proposals.
- Perform additional tasks as may be assigned in support of sales growth and customer service excellence.
