Role Summary: The List Management Coordinator is a hybrid operational and data quality specialist for the marketing team. This role blends hands-on list cleaning, data validation, and process management to ensure the accuracy and usability of client and prospect databases. The coordinator follows the procedures outlined in to validate, append, and update contact records, segment lists, and support campaign execution. They work closely with marketing managers, field marketers, and sales to maintain clean, actionable lists for all marketing activities.

Key Responsibilities:

  • List Cleaning & Data Validation: Validate, append, and update critical data points (name, title, address, phone, email, company, decision maker, etc.) for clients and prospects in spreadsheets and CRM systems, following the step-by-step process in List Cleaning Ensure duplicate records are identified and merged or deleted; segment clients from prospects and tag records appropriately. Use online search, paid and free data sources (e.g., ZoomInfo, LinkedIn, , Manta, DNB, Facebook, Yelp, BBB, etc.) to verify and enrich contact information. Maintain a "Validation Date" and "Validated By" field for every record cleaned.
  • Process Management & Coordination: Own and manage internal CRM cleanliness SOPs, including processing inbound leads, handling duplicates, updating client records, and importing/tagging new lists. Train and manage outside list cleaners, spot-checking their work for accuracy and confidentiality. Document and report weekly list counts (raw leads, MQLs, SQLs, appointments, clients) to show trends in database health. Enforce company GDPR compliance through quarterly retention and destruction policies.
  • Campaign Support: Prepare lists for import into marketing automation platforms (e.g., HubSpot), ensuring only opted-in contacts are included for email campaigns. Support campaign execution by providing segmented, validated lists for targeted marketing efforts (webinars, direct mail, email broadcasts). Tag and update records post-campaign (e.g., bounced emails, returned mail, "Needs Cleaned" flagged by sales).
  • Collaboration & Communication: Work with sales and marketing managers to review leads marked "Not Qualified" and ensure accurate segmentation. Attend weekly sales meetings to review lead/list issues, report numbers, and answer questions. Train new team members on CRM use and list cleaning best practices.
  • Reporting & Data Administration: Maintain spreadsheets/databases for tracking list cleaning progress, campaign results, and lead sources. Research discrepancies in data, isolate errors, and implement process improvements for consistency and accuracy.

KPIs:

  • List Accuracy & Completeness: Percentage of records with all required fields validated and updated; reduction in duplicate or inaccurate records.
  • List Cleaning Throughput: Number of records cleaned per week/month; average turnaround time for cleaning new lists.
  • Campaign Readiness: Percentage of campaigns launched with fully validated, segmented lists; zero critical errors (e.g., sending to wrong contacts).
  • Internal Customer Satisfaction: Feedback from marketing and sales teams regarding list quality and support.
  • Compliance & Confidentiality: Adherence to GDPR and internal data handling policies; successful audits of list cleaning processes.
  • Process Improvement: Number of process enhancements implemented; reduction in errors/discrepancies over time.
  • Collaboration & Initiative: Proactive identification of list issues, suggestions for process improvements, and support for team operations.

Qualifications:

  • 1-2 years of experience in a hands-on data management, list management, sales/marketing operations, or data quality role.
  • Proven proficiency with a CRM system (e.g., Salesforce, HubSpot, Zoho). Must be comfortable with core functions like searching, filtering, updating records, merging duplicates, and running basic reports.
  • Exceptional attention to detail. A demonstrable ability to perform repetitive, detailed data tasks with a high degree of accuracy.
  • Strong data literacy and analytical skills. Comfortable working with spreadsheets (Google Sheets or Microsoft Excel) for tasks like sorting, filtering, using pivot tables, and identifying trends.
  • Process-oriented mindset. Ability to follow detailed Standard Operating Procedures (SOPs) meticulously and identify opportunities for process improvement.
  • Excellent organizational and time management skills. Ability to manage multiple lists and priorities in a fast-paced environment.
  • High level of integrity and discretion. Understands the importance of handling confidential customer data and complying with data privacy regulations like GDPR/CCPA.
