CEO Executive Assistant

About the Role:
Are you a super-organized, detail-oriented, and proactive individual who thrives in a fast-paced environment? Do you love being the glue that holds everything together? If so, we want you We're looking for an exceptional Executive Assistant to support our CEO, who oversees multiple accounts and initiatives. This isn't your typical EA role; you'll be at the heart of the action, working on a variety of projects and making a real impact every day.
Responsibilities:
- Calendar Management: Manage and maintain the CEO's complex calendar, scheduling meetings, appointments, and travel arrangements across multiple time zones. Anticipate conflicts and proactively resolve scheduling issues.
- Communication: Act as a primary point of contact for internal and external stakeholders. Screen and prioritize emails, phone calls, and other correspondence. Draft and prepare communications on behalf of the CEO.
- Travel Arrangements: Coordinate all aspects of travel, including flights, accommodations, transportation, and itineraries. Ensure seamless and stress-free travel experiences.
- Meeting Support: Prepare meeting agendas, presentations, and materials. Attend meetings, take minutes, and follow up on action items.
- Project Management: Assist with special projects and initiatives as needed. Conduct research, gather data, and prepare reports.
- Administrative Support: Handle administrative tasks such as expense reports, invoice processing, and office supply management.
- Confidentiality: Maintain strict confidentiality of sensitive information.
- Relationship Management: Build and maintain strong relationships with internal and external stakeholders.
- Gatekeeping: Filter and prioritize access to the CEO, ensuring that only the most important and relevant matters reach their attention.
- Problem Solving: Proactively identify and resolve problems, using sound judgment and decision-making skills.
Qualifications:
- Proven experience as an Executive Assistant supporting a high-level executive.
- Exceptional organizational and time-management skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- Strong attention to detail and accuracy.
- Ability to maintain confidentiality.
- Experience managing complex calendars and travel arrangements.
- Ability to prioritize and manage multiple tasks simultaneously.
- Bachelor's degree preferred.
