Job Objective

To provide high-level administrative and operational support to the Director of Real Estate Operations. Ensures seamless coordination of departmental activities, tracks deliverables, and reinforces accountability among team members, enabling the Director for Real Estate Operations to focus on strategic leadership, coaching, and project oversight.

Duties and Responsibilities

1. Project and Operations Coordination

  • Monitor and track progress of key projects, initiatives, and departmental deliverables.
  • Coordinate with department heads to follow up on timelines, milestones, and outcomes.
  • Assist in compiling performance reports, dashboards, and project updates for review.

2. Liaison and Communication

  • Serve as the main point of contact for internal and external stakeholders on behalf of the Director.
  • Ensure clear and timely communication between the Director and her direct reports.
  • Represent the Director in internal meetings when required.

3. Data Management and Research

  • Maintain organized records of property data, contracts, reports, and internal files.
  • Conduct preliminary research and data compilation for decision-making and planning.

4. Administrative and Executive Support

  • Manage the Director's calendar, schedule meetings, site visits, and internal engagements.
  • Prepare meeting materials, presentations, and detailed minutes with follow-up actions.
  • Draft and manage correspondence, memos, reports, and presentations.

5. Process and Standards Monitoring

  • Help reinforce the Director's values, systems, and processes among the team.
  • Flag operational or compliance issues and coordinate timely resolution.
  • Perform other duties as may be assigned or delegated from time to time.

Job Specifications

  • Bachelor's degree in Business Administration, Management, Real Estate, or any related field.
  • At least 3 years of experience as an Executive Assistant, Project Coordinator, or in a similar operations support role.
  • Experience in real estate, property management, or property coordination is preferred.

Specific Knowledge and Skills

  • Strong organizational, planning, and time management skills, excellent verbal and written communication skills, high level of discretion and confidentiality, strong problem solving and follow-through ability.

Job Type: Full-time

Pay: Php25, Php35,000.00 per month
