Job description:

RESPONSIBILITIES

  • Maintain accurate and up-to-date records of Purchase Order (PO) folders, including proper labeling, scanning, and filing.
  • Monitor and maintain logs for ICON vehicles using the ICON fleet monitoring system.
  • Provide general administrative and clerical support, including answering phones, photocopying, and filing documents.
  • Coordinate operational meetings and announcements; record and maintain meeting minutes and related documents.
  • Submit documents to other departments and maintain corresponding transmittal records.
  • Ensure PO folder drawers are well-organized and properly maintained at all times.
  • Track and log all borrowed PO folders and documents, ensuring their return by the end of each day.
  • Maintain a record of forwarders used per PO transaction for future pricing reference.
  • Assist with booking of local flights as needed.
  • Issue trip tickets in the absence of the Customer Service Associate.

Professional qualifications

  • Education: Bachelor's degree in Business Administration, Office Management, or any related field.

QUALIFICATIONS/REQUIREMENTS

Experience / Technical knowledge

  • 3 years of work experience in an administrative, clerical, or support role
  • Excellent verbal and written communication skills
  • High attention to detail and accuracy
  • Proficient in Microsoft Office Suite
  • Strong organizational and record-keeping abilities
  • Excellent time management skills and ability to multitask
  • Willingness to assist with tasks outside primary responsibilities when needed
  • Ability to work independently with minimal supervision
  • Willingness to occasionally assist in field tasks or run administrative errands
