About the Role:

The Accounting Assistant – Accounts Payable supports the finance department by performing day-to-day invoice processing, vendor account maintenance, and payment reconciliation. This role ensures timely and accurate processing of accounts payable transactions while maintaining strong attention to detail and adherence to financial policies.

Key Responsibilities:

Accounts Payable Processing

  • Review, verify, and process vendor invoices, expense reports, and payment requests.
  • Match invoices with purchase orders and receiving documents (3-way match).
  • Ensure appropriate coding, approvals, and documentation for all AP transactions.
  • Prepare and execute weekly or scheduled check runs, ACH payments, and wire transfers.
  • Reconcile vendor statements and resolve discrepancies in a timely manner.

Recordkeeping & Reporting

  • Maintain organized digital and physical AP files, ensuring audit-ready documentation.
  • Assist with month-end closing procedures, including accruals and AP aging reports.
  • Update and maintain vendor information in the accounting system.
  • Support external and internal audits by providing necessary reports and documentation.

Communication & Coordination

  • Serve as point of contact for vendor inquiries and payment status updates.
  • Collaborate with procurement, receiving, and other departments to resolve issues.
  • Ensure compliance with company policies and applicable regulations.

Qualifications:

Education & Experience

  • Bachelor's in Accounting or related field preferred.
  • 1–2 years of accounts payable or general accounting experience.

Skills & Competencies

  • Strong knowledge of basic accounting principles and AP workflow.
  • Proficiency with accounting software (e.g., QuickBooks, SAP, Oracle, NetSuite) and MS Excel.
  • Excellent attention to detail and accuracy.
  • Strong organizational and time-management skills.
  • Effective communication and problem-solving abilities.
  • Ability to work independently and meet deadlines.
