JOB SUMMARY
The Entertainment Administrative Associate provides essential support for the smooth operation of entertainment events. This role encompasses a variety of administrative and logistical tasks, including coordinating necessary permits and clearances for performers, processing paperwork for marketing materials, and managing event-related documentation. They assist with sales and customer inquiries, including ticket reservations and sales, and collaborate with vendors to ensure the timely delivery of event supplies. Inventory management and the preparation of event reports are also key responsibilities, contributing to the overall success of each production.
RESPONSIBILITIES
Event Operations & Production Support:
- Support the setup and breakdown of events, including stage, seating, and props.
- Manage rehearsals and shows, including logistics, technical assistance, schedule adherence, and script provision.
- Assist performers and crew with dressing room preparation, costume changes, props handling, and set transitions.
- Coordinate with production teams and manage backstage movements.
- Ensure entertainment areas are clean, organized, and maintained.
- Dismantle and store equipment safely after events.
Administrative & Logistical Management:
- Process permits and clearances for performers.
- Manage marketing material requests and related paperwork.
- Handle event documentation, including CDRFs, PEFs, and other necessary forms.
- Coordinate with vendors and suppliers.
- Maintain supply inventory and request replenishment.
- Assist in preparing event reports, including ticket sales, performance, feedback, and logistics.
Guest Services & Audience Management:
- Greet and assist guests.
- Provide information about events and facilities.
- Handle guest inquiries, complaints, and special requests.
- Manage ticket sales, reservations, and issuance.
- Direct guests to seating and assist with crowd control.
- Ensure a smooth and positive guest experience.
Sales, Promotion & Revenue Generation:
- Promote upcoming events and attractions.
- Sell tickets, merchandise, and concessions.
- Manage merchandise inventory and cash handling.
- Provide product information to guests.
- Provide input on improving guest experiences.
Safety & Compliance:
- Ensure adherence to company safety policies and entertainment regulations.
- Monitor exits, aisles, and emergency routes.
- Assist in emergency procedures, such as evacuations and medical situations.
- Identify and report safety hazards.
Other Tasks
- Attend personal continuous development interventions / coaching sessions.
- Attend periodical mandatory training / meeting for compliance purposes (i.e. risk management, health and safety, etc.).
- Perform other related tasks and duties that may be assigned.
QUALIFICATIONS
- Candidate must possess at least a Bachelor's Degree in any course.
- At least one (1) year experience entertainment management
- Good verbal and written communication skills
- Excellent analytical and critical thinking skills
- Excellent project management skills
- Self-motivated, reliable, and able to deliver results
- Accountability and the ability to stand firm on decisions and difficult issues when required
- Collaborative and a team player
- Adaptable and can handle stressful and high pressure situations
- Organized and has great attention to details
- Has strong leadership characteristics to delegate tasks, influence, motivate, and develop team members
