About the Role

At Colkin Architecture & Construction, we deliver innovative architectural designs and high-quality construction services. We are looking for a motivated and detail-oriented Project Coordinator who will serve as a vital bridge between clients, the sales team, and the project team. This role supports sales activities, manages client communications, and ensures projects run smoothly from planning to execution to final turnover.

Key Responsibilities

  • Sales & Pre-Project Support
  • Assist the sales team with proposals, presentations, and client-facing materials.
  • Help organize and track the sales pipeline, ensuring timely follow-ups and accurate records.
  • Conduct market research to identify potential clients and support outreach initiatives.
  • Client Coordination
  • Serve as the primary point of contact for assigned clients once projects are engaged.
  • Provide regular updates on project progress, milestones, and timelines.
  • Relay client concerns, requests, and feedback promptly to the internal team.
  • Maintain professional communication across all channels (email, calls, meetings, site visits).
  • Project & Administrative Support
  • Coordinate communication between clients, project managers, architects, and engineers.
  • Manage contracts, invoices, and client records to ensure smooth documentation.
  • Schedule meetings, maintain calendars, and track project deadlines.
  • Support turnover activities, ensuring client satisfaction at project completion.

Qualifications

  • Bachelor's degree in Business Administration, Construction Management, Architecture, or a related field preferred.
  • Minimum of 2 years' experience in sales support, client management, or project coordination (construction/architecture background is a plus).
  • Strong organizational and time-management skills with the ability to manage multiple tasks.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite and CRM or project management tools.
  • A proactive, detail-oriented mindset with a passion for supporting both clients and internal teams.
