Role:HR Admin Assistant

Compensation: Competitive Basic Salary

Benefits: HMO plus 2 Free Dependents, P1,500 Rice Allowance, Night Differential (If applicable).

Work Schedule: 5-day work week, 9PM to 6AM, Philippine time

Work Setup: WFO

Responsibilities:

  • Monitoring and Tracking Attendance

  • Ensure accurate timekeeping and attendance tracking for all employees, including monitoring absences based on predefined thresholds.

  • Pre-Employment Requirements

  • Monitor and oversee the completion of pre-employment requirements for new hires.

  • Maintain digital and hardcopy records of completed requirements.

  • Endorse cases of non-compliance to the HR Supervisor for further action, such as the issuance of Notice to Explain (NTE).

  • Employee Regularization

  • Monitor the regularization process for employees and assist in preparing contracts for their signing.

- Coordinate the notarization of regularization contracts.

  • Employee Records and Databases

  • Assist in maintaining and updating employee records and databases, ensuring accuracy and confidentiality.

  • HR Communication Support

  • Draft and edit internal announcements, memos, and policies related to HR matters.

  • Assist with HR-related communications as assigned.

  • General Administrative Tasks

  • Perform various administrative duties, including filing, data entry, and organizing HR documents.

  • Document Management

  • Maintain both hard copy and digital files for employee records (201 files).

  • Complete other tasks as assigned by the HR team from time to time, providing flexible support based on department needs.

Required Experience:

  • Bachelor's degree in human resources or related.
  • At least 1 year of experience as an HR assistant.
  • Effective HR administration and people management skills.
  • Familiarity of HR functions and best practices.
  • Excellent written and verbal communication skills.
  • Works well under pressure and meets tight deadlines.
  • Highly computer literate with capability in email, MS Office, and related business and communication tools.
  • Fantastic organizational and time management skills.
  • Strong decision-making and problem-solving skills.
  • Meticulous attention to detail.
  • Ability to accurately follow instructions.
  • During the probationary period, if the EMPLOYEEs performance does not meet the standards of the COMPANY, the COMPANY may terminate the EMPLOYEE'S EMPLOYMENT.
