Baesa Metro Manila, Philippines Kubota Philippines, Inc. Full time ₱80,000 - ₱120,000 per year

BASIC FUNCTION: In-Charge of all General Affairs related matters such as safety, housekeeping, security, office supplies, vehicle allocation, shuttle, compliance with government permits, scrap disposal, maintenance and cleanliness of the entire office & building premises.

DUTIES AND RESPONSIBILITIES:

A Facility Maintenance

  • Ensure cleanliness, orderliness, and safety of office and building premises.
  • Oversee regular maintenance, repairs, and inspections of office fixtures and equipment.
  • Coordinate quarterly fumigation and pest control activities.
  • Coordinate seating & table arrangements, workstation layout, sound systems, etc., as needed.

B Vehicle Management

  • Monitor and manage all the company vehicles, rental cars, and shuttle services.
  • Ensure vehicles are in good condition and properly maintained.
  • Handle LTO registration and renewal of all company-owned vehicles.
  • Manage Shell fuel fleet cards, toll monitoring and analyze the monthly, quarterly, & yearly consumption.

C.      Government Permits and Compliance

  • Responsible for the renewal of government permits & licenses related to business permits.
  • Annual submission of Government requirements such as Mechanical, Electrical, Sanitary, Occupational Permit, FDAS etc.
  • Lead or support company safety programs and compliance audits.

D.      Security and Housekeeping

  • Supervise schedules and performance of security guards and housekeeping agency personnel.
  • Review security logbooks and incident reports; escalate issues when needed.
  • Conduct regular inspections of lockers and common areas.

E Supplies and Office Utilities

  • Manage office supplies and ensure adequate stock.
  • Coordinate requests for supplies and purchase orders.
  • Analyze monthly usage trends of office and pantry supplies.

F Scrap and Waste Management

  • Organize and oversee scrap disposal activities.
  • Maintain cleanliness and order in disposal areas.

G.      Employee Support and Emergency Response

  • Assist employees during accidents or emergencies.
  • Support HR and other departments during employee events or programs.

H.      General Affairs Data Analysis

  • Analyze all the required data for General affairs with recommendations.
  • Analyze the problem & provide resolution as needed.

JOB SPECIFICATIONS:

  • Graduate of any Engineering, business, or IT related course.
  • With at least two years of experience in the field of General Affairs and/or Human Resources.
  • Highly proficient with computer, excel formulas and presentation.
  • Analytical, team player and result oriented with good communication skills.
