Scope of Role:

The Inventory & Audit Accountant is responsible for monitoring, validating, and reconciling inventory movement, asset records, and expense claims across all business units. This role ensures that inventory transfers, consumption, and stock levels are properly recorded and audited, while also assisting in expense verification, branch-level documentation, and audit readiness for financial reporting.

Main Job Functions:

Inventory Movement Monitoring

  • Track inbound and outbound inventory transfers (from warehouse to branches or between branches).
  • Validate and reconcile ITRFs (Inventory Transfer Request Forms), Stock Issuance Logs, and Receiving Logs.
  • Ensure real-time updates to master inventory sheets and movement logs.
  • Coordinate with Warehouse & Branch staff for confirmation of item delivery and receipt.

Expense Audit & Validation

  • Validate branch-encoded expenses against physical receipts and vouchers.
  • Check for correct account classification, branch tagging, and cost center allocation.
  • Flag duplicate or suspicious entries and escalate for review.
  • Ensure documentation is complete before submission for payment processing.

Asset & Supply Monitoring

  • Maintain master list of depreciable and non-depreciable assets by branch and business unit.
  • Tag newly purchased assets and update asset registry with cost, location, and lifespan.
  • Support in periodic inventory and asset count audits with documentation.
  • Track issuance and consumption of office, bar, and operational supplies.

Branch Coordination & Filing Oversight

  • Collect and file scanned copies of ITRFs, ARFs (Asset Request Forms), purchase documents, and liquidation reports.
  • Ensure each branch follows the standardized naming, tagging, and archiving protocol.
  • Provide reminders and follow-ups for delayed or missing submissions.
  • Assist in reconciling discrepancies found during audit fieldwork or remote checks.

Audit & Reporting Support

  • Support month-end and year-end audit preparation (inventory reports, count sheets, reconciliations).
  • Maintain organized digital folders per branch, per item type, and per month.
  • Submit weekly updates on ITRF/ARF backlogs, discrepancies, and audit findings.
  • Escalate issues to Accounting Manager/CFO with supporting screenshots or logs.
