The Inventory Controller is the single point of accountability for all clinic inventory, including veterinary medicines, medical supplies, consumables, and clinic assets. This role is responsible for ensuring accurate recording, controlled release, proper storage, and timely reporting of inventory to prevent losses, discrepancies, and misuse.

This position carries control authority, not merely support duties, and plays a critical role in strengthening clinic compliance, transparency, and operational discipline.

Key Responsibilities

Inventory Control & Accountability

  • Maintain complete and accurate records of all inventory movements (stock-in, stock-out, usage, returns, and disposal).
  • Ensure no medicine or supply is released without proper documentation and authorization.
  • Implement and strictly follow FIFO (First-In, First-Out) and expiration monitoring.
  • Conduct regular physical inventory counts (daily spot checks, weekly/monthly full counts).
  • Immediately report discrepancies, shortages, or irregularities to the Clinic Supervisor and Management.

Medication & Supply Management

  • Safeguard controlled and high-risk medicines with heightened monitoring and documentation.
  • Coordinate closely with Veterinary Nurses on daily medication usage and replenishment needs.
  • Ensure proper storage conditions, labeling, and segregation of medicines and supplies.
  • Monitor near-expiry, expired, or damaged items and process proper documentation for disposal.

Authority & Compliance

  • Exercise the authority to withhold release of inventory when documentation, prescriptions, or approvals are incomplete.
  • Enforce inventory-related SOPs consistently, regardless of role or seniority of requesting staff.
  • Participate in internal audits, investigations, or spot checks related to inventory matters.
  • Recommend process improvements to strengthen inventory controls and reduce risk.

Reporting & Documentation

  • Prepare and submit inventory reports (daily usage summaries, weekly variance reports, monthly inventory status).
  • Maintain organized and auditable inventory files, logs, and supporting documents.
  • Provide clear data to Management for decision-making and loss prevention.

Coordination & Support

  • Work closely with the Clinic Supervisor to forecast inventory needs and avoid stock-outs.
  • Coordinate with suppliers for deliveries, returns, and replacements as directed by Management.
  • Support clinic operations by ensuring uninterrupted availability of required supplies.

Job Type: Full-time

Pay: Php22, Php25,000.00 per month
