Documentation Specialist

Job Summary:
The Documentation Specialist is responsible for managing and maintaining all operational, logistics, and compliance documentation related to the company's frozen meat trading and distribution activities. This includes ensuring that all product records, permits, and regulatory documents are accurate, updated, and properly filed in accordance with company standards and government requirements such as those set by NMIS, FDA, and other related agencies.
Key Responsibilities:
- Prepare, organize, and maintain all importation, delivery, and product documentation, including permits, certificates of meat inspection, cold storage reports, and delivery receipts.
- Ensure all NMIS, FDA, and local government compliance documents are complete, accurate, and renewed on time.
- Maintain updated records of supplier and client documentation such as business permits, sanitary permits, and accreditation certificates.
- Monitor incoming and outgoing product documentation to ensure accuracy in quantity, batch codes, and expiration details.
- Coordinate with logistics, warehouse, and sales departments to verify supporting documents for deliveries and shipments.
- File and manage all purchase orders, invoices, and transaction records, both in physical and digital format, for easy retrieval.
- Assist in audit preparations by organizing and presenting required documentation for regulatory inspections or internal reviews.
- Develop and implement standardized document templates and tracking systems for operational consistency.
- Safeguard the confidentiality of company records and sensitive data.
- Support management in preparing reports and compliance submissions to relevant agencies.
Qualifications:
- Bachelor's Degree in Business Administration, Office Management, Logistics, or related field.
- At least 2 years of experience in documentation or administrative support, preferably in a meat trading, cold storage, or food distribution company.
- Strong knowledge of documentation requirements for NMIS, FDA, or import/export regulations is an advantage.
- Excellent organizational skills and keen attention to detail.
- Proficient in Microsoft Office applications and document tracking systems.
- Strong communication and coordination skills across departments.
- Ability to work under pressure and handle time-sensitive regulatory submissions.
