JOB SUMMARY:
The Facilities & Safety Officer plays a dual role in ensuring the smooth operation of office facilities and maintaining compliance with occupational safety and health standards. This position is responsible for managing building-related services, coordinating with vendors, and serving as the designated DOLE certified Safety Officer. The role is critical to supporting operational continuity, employee welfare, and government compliance.
JOB RESPONSIBILITIES:
Facilities Management
- Oversee day-to-day operations of office facilities, ensuring functionality, cleanliness, and safety of the workspace.
- Coordinate utilities (electricity, water, internet) and ensure uninterrupted service and timely issue resolution.
- Serve as the primary liaison with building administration for permits, access, maintenance, and compliance with property protocols.
- Manage vendor relationships, including sourcing, contract negotiation, service level monitoring, and performance evaluation.
- Support procurement of office equipment, furniture, and supplies in coordination with Admin and Finance.
- Track and manage facilities-related expenses, assist in budget preparation, and ensure timely processing of vendor payments.
- Maintain an updated inventory of office assets and oversee preventive maintenance schedules.
- Assist in office fit-outs, relocations, and workspace planning to accommodate team growth and operational needs.
Safety & Compliance
- Serve as the designated DOLE-certified Safety Officer for the site.
- Implement and monitor occupational safety and health programs in compliance with DOLE regulations.
- Conduct regular safety inspections, risk assessments, and emergency preparedness drills.
- Maintain safety documentation, incident reports, and compliance records.
- Coordinate safety training and awareness programs for employees.
- Ensure readiness for government inspections and audits related to labor and safety compliance.
Administrative Support
- Assist in onboarding and workspace setup for new hires.
- Support procurement processes related to facilities and safety.
- Maintain records of office assets, supplies, and safety equipment
JOB QUALIFICATIONS:
- Bachelor's degree in Engineering, Facilities Management, Occupational Safety, or related field.
- DOLE Safety Officer Certification (SO2 or higher) required or willingness to obtain.
- Minimum 2 years of experience in facilities management or safety compliance.
- Strong organizational, communication, and vendor coordination skills.
- Knowledge of Philippine labor and occupational safety regulations.
