As the CEO's right hand, you'll drive efficiency, manage high-stakes tasks, and enable strategic focus in a high-growth environment. This role goes beyond traditional admin work, you'll support the CEO's public presence through social media and podcasts while meticulously handling detailed travel logistics. You're a problem-solver who thrives in a fast-paced, international operation.

Key Responsibilities

  • Streamline Communication: Act as the CEO's primary point of contact, filtering and prioritising internal/external communications with precision.
  • Calendar & Travel Mastery: Own the CEO's schedule, coordinating high-impact meetings and executing complex travel plans with exacting attention to detailed requirements (e.g., specific flights, accommodations, taxi's and itineraries).
  • Information Management: Handle confidential data with ironclad discretion, maintaining secure, organized digital records and filing systems.
  • Meeting Execution: Prepare agendas, take concise minutes, and follow up on action items to ensure seamless execution.
  • Financial Tracking: Monitor and categorize daily expenses, delivering clear, accurate weekly and monthly reports.
  • Content Creation: Draft and format professional emails, memos, presentations, and reports for internal and external audiences.
  • Team Coordination: Occasionally guide clerical staff to align with operational priorities, ensuring cohesive team output.
  • Social Media & Podcast Support: Support CEO with managing social media posts (e.g., LinkedIn, Instagram) and coordinate podcast logistics, including scheduling, and prep materials.
  • Tech-Savvy Operations: Leverage AI tools, CRMs, and office software (e.g., Canva, , or MS Office) to automate tasks and boost productivity. Assist with internal IT admin.

Who You Are

  • Experienced: 3+ years as an Executive Assistant or similar role, ideally supporting C-level leaders in a dynamic, global setting. Experience with social media management or podcast coordination is a plus.
  • Organised & Proactive: Exceptional time management and prioritization skills, with a knack for anticipating needs and handling detailed instructions.
  • Tech-Skilled: Proficient in MS Office, Google Workspace, and productivity tools. Familiarity with social media platforms and tools.
  • Communicative: Flawless written and verbal English, with the ability to craft engaging, on-brand content for professional audiences.
  • Discreet: Uncompromising integrity when handling sensitive information.
  • Adaptable: Thrives in a fast-paced environment, comfortable with ambiguity and rapid shifts in priorities.
  • Detail-Oriented: Meticulous in executing complex travel plans and following precise instructions.
  • Educated: Bachelor's degree preferred, but relevant experience and skills outweigh formal education.
