Job Description

As a Bid Coordinator & Writer, you will manage the full tender lifecycle, from drafting compelling submissions to coordinating with key stakeholders. Your expertise will ensure bids are accurate, persuasive, and aligned with client expectations, ultimately driving successful project outcomes.

The Qualifications We Seek

Experience/Qualification

  • Experience in Contract Administration or Business Development
  • 3+ years of experience in Bid Coordination, proposal writing, or estimating (preferably in Facilities Management or Construction)
  • Proven ability to plan across short, medium, and long-term timeframes
  • Experience collaborating with clients during bid processes

Your Daily Tasks

Bid Writing

  • Manage and coordinate small, medium, and large bids end-to-end
  • Write compelling and persuasive tender responses with technical inputs from SMEs and tender libraries
  • Coordinate with Estimating, Project Management, Compliance, Legal, and Finance teams for cohesive submissions
  • Maintain high standards in formatting and reviewing tender documents
  • Ensure tender compliance and clarity in all documentation

Bid Support

  • Keep tender data, including CRM portals, accurate and current
  • Liaise with suppliers and customers for pricing and clarifications
  • Oversee contract/project setup and transitions post-award
  • Manage RFTs, RFIs, EOIs, and RFPs in Facilities Management and Construction
  • Track deadlines and maintain a tender calendar for timely delivery
  • Contribute to post-submission reviews and improve bid strategies

Processes & Administration

  • Follow Business Development and CBC processes, procedures, and systems
  • Support improvements to internal systems, processes, and procedures
  • Ensure team folders are structured and accurate
  • Facilitate pre- and post-tender clarification, transition, and debriefing sessions
  • Draft correspondence and other related documentation
