The challenge is to streamline our website project completion process to consistently launch client websites within 30 days or less. This role is crucial in ensuring efficient communication, optimal use of our chosen WordPress themes, and timely delivery to our clients.

We are seeking a highly organized and proactive Project Coordinator & Administrative Support Specialist to manage the critical pre- and post-development phases of our website projects. You will serve as the central point of coordination, ensuring all necessary materials are gathered, clearly communicated to our development team, and that clients are kept informed throughout the process.


Job Highlights

Monthly Rate: Php 40,000-47,000

Number of Paid Hours Per Week: 40 hours per week

Schedule: Flexible schedule during client's business hours (US Eastern Time)

Work Arrangement: Work from home

Contract: Independent Contractor

Side Note: Since this is a permanent work-from-home position and the arrangement is that of an "Independent Contractor," the selected candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates and depend on your performance in the application process.


Responsibilities

Project Initiation & Material Gathering

  • Collaborate with the internal team to understand project scope and client requirements, including industry and selected WordPress theme from our Envato library.
  • Proactively communicate with clients to request necessary website content (copy, images, videos, etc.).
  • Guide clients on content quality and type, considering display within standard themes.
  • Collect and organize all client-provided materials within Notion.

Theme Understanding & Content Mapping

  • Develop a strong understanding of layouts and capabilities of standard WordPress themes.
  • Analyze client needs and determine optimal placement of their content within chosen theme structures.
  • Document content mapping for specific sections, layouts, and elements within the theme.
  • Identify unnecessary theme features and recommend removal to match client requirements.

Development Communication & Instruction

  • Translate content mapping into clear, detailed implementation instructions for the offshore development team.
  • Specify content integration within Custom Post Types (CPTs) and static page structures.
  • Reference specific layouts or sections via theme documentation or visual markup.
  • Provide timely clarification to developers to ensure accurate execution.

Project Management & Client Communication

  • Track progress toward 30-day project completion goals and identify potential blockers.
  • Proactively communicate updates and manage client expectations.
  • Follow up on outstanding client materials and ensure timely delivery.
  • Maintain accurate project records within Notion.
  • Ensure projects are launched within the targeted 30-day window.

Requirements
  • Proven experience as a Virtual Assistant or Project Coordinator, ideally within a web development or digital marketing environment.
  • Experience with project management tools (Notion, Markup, or similar).
  • Strong understanding of WordPress and experience working with WordPress themes (Envato themes experience a plus).
  • Experience with content management, including handling images and copy.
  • Previous agency experience preferred but not required.
  • Ability to work US East Coast business hours.
  • Strong organizational and time management skills.
