RECORDS AND DIGITIZATION LEGAL STAFF

Job Description

  1. Support the implementation and administration of a comprehensive documents and records management system, addressing legal documentation matters, and ensuring the preservation and maintenance of documents.

  2. Collect and consolidate data pertaining to the documents and records maintained by various departments and offices, along with understanding their perspective recording processes. This involves devising comprehensive document and record management protocols, policies, and procedures, specifically focusing on digitization, record maintenance, archiving, and retrieval processes.

  3. Assist in the digitization of documents and records which includes scanning of documents, proper document indexing/tagging, creation of new folders and sub-folders, uploading new and/or updated versions of documents, keeping track of document signing status, and proper monitoring of the created document management system.

  4. Monitor the routing of all documents for signature, analyze turnaround time information, and provide proposals for process improvement.

  5. Assist in managing the archiving of all documents and records ensuring adherence to company policies regarding the appropriate storage duration for each document throughout its lifecycle.

  6. Maintain a systematic record of document tagging to facilitate efficient retrieval of specific documents, ensuring ease os assess.

  7. Perform other duties related to document and record management.

Qualifications

  • Preferably Library and Information Studies, Information technology, Office Management, and other related courses
  • Must have at least 2 years of working experience in document and record management
  • With strong communication skills and can work efficiently with different people at all levels in the organization
  • Must be highly organized, detail-oriented, and can work with minimal supervision
  • Pro-active and creative
  • Proficient in document management system, MS Office applications, and other relevant software applications
