QUALIFICATIONS

Education

  • Associate's Degree or Bachelor Degree in business, administration or related field

Experience

  • Office Assistant, Office Administrator, Customer Service or any related field

Job Knowledge, Skills and/or Technical Competencies Required

  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint and Excel) and Google sheets

  • Strong listening and Communication skills

DUTIES & RESPONSIBILITIES

Accountable of the folders of the Sold Accounts

  • Received folders from Sales & Marketing and Data entry of the accounts to the General Monitoring of Accounts
  • Monitors re-open RFO accounts
  • Ensures the safekeeping of the folders
  • Updating and maintaining records and database

Validation of buyer's qualification and requirements

  • Review and evaluate buyer's folders for the compliance of requirements
  • Capacity to Pay

Buyer's Compliance

  • Call Out buyers for the compliance of lacking requirements
  • Ensures the submission of the documents in the given timeline
  • Process/ endorse requests for extension for compliance

Monitoring and Cancellation of Accounts

  • Monitors the buyer's accounts and timeline of the due date of the submission of documents
  • Endorse accounts subject for cancellation
  • Process/endorse requests for voluntary cancellation and request for refund

Buyer's/ Seller's Inquiry

  • Answering incoming calls; taking messages and redirecting calls as required
  • Dealing with email inquiries
  • Attend to walk-in clients

Setting the Coordination Meeting

  • Taking minutes
  • Diary management and arranging appointments, booking meeting rooms and conference facilities

Preparation of Credit / Background Investigation requirements

  • Perform the docketing of folders for the advanced CIBI requirements for HDMF
  • Endorse docketed folders to Liaison Associates for HDMF submission
  • Monitor the accounts with released CIBI report from HDMF
  • Check and review accounts qualified for incentives and commissions

Others

  • May be assigned to assist in other documentation functions as determined by the Docs Manager
