As we're a growing service-based company, we're looking for a hands-on, all-round problem solver to join our team as a Junior Operations & Admin Specialist.
Think of this role as the engine room of the business—you'll keep everything running behind the scenes, from admin and recruitment sourcing to payment setups and reconciliation.

Daily Admin & Operations
- Handle scheduling, document management, and internal communications.
- Track tasks and deadlines so projects move smoothly.
- Source goods, equipment, and supplies for offices, shoots, or events.
- Coordinate bookings and travel arrangements for the team.
- Support daily operational needs across multiple businesses.
Recruitment Support
- Post job ads, source candidates, and help manage the hiring pipeline.
- Keep candidate information organized and up to date.
- Assist in candidate sourcing and screening for London Outsourced when needed.
- Help prepare basic onboarding documentation or contracts.
Finance & Back-Office Support
- Assist with payroll processing and simple reconciliation.
- Help prepare and issue client invoices; follow up on outstanding payments when necessary.
- Provide contract setup and assistance for client or vendor agreements.
- Maintain accurate digital records for easy reporting.
- Support budget tracking and basic P&L literacy (advantage).
Data, Systems & AI-Driven Workflow
- Work with Excel and Google Sheets to create and maintain reports.
- Maintain internal records and trackers for task progress and outcomes ).
- Synchronize and optimize workflows across tools and teams.
- Use, experiment with, and familiarize yourself with AI tools to automate repetitive tasks and improve efficiency (ChatGPT, Claude, Gemini, etc.).
Team Collaboration & Coordination
- Provide support in internal communication and coordination across departments.
- Coordinate with remote teammates and external partners.
- Suggest process improvements as you learn.
What We're Looking For
- Completed college or university degree (business, management, finance, or tech-related field preferred).
- 6–12 months of relevant experience in an operations or administrative role.
- Background in a service-type industry—such as recruitment, contracting, or digital/creative agencies—is a plus (but not required).
- Solid working knowledge of Excel and Google Sheets.
- Experience with (non-essential but helpful).
- Advantage if financially literate in budgeting and P&L basics.
- Advantage if AI literate or eager to learn and apply AI tools in workflows.
- Highly system-focused with a mindset for streamlining and optimizing processes.
- Fluent in English, with clear written and verbal communication.
- Organized, reliable, and comfortable working independently in a remote setup.
