Principal Purpose of Job (Job Summary)

Front Office Associate serves as the first point of contact for guests, ensuring a warm welcome and a seamless check-in/check-out experience. This role is responsible for handling reservations, guest inquiries, and front desk operations while delivering exceptional customer service.

Job Duties & Responsibilities

• Greet guests professionally upon arrival and provide a smooth check-in/check-out process.

• Assist guests with inquiries about hotel services, amenities, and local attractions.

• Handle guest complaints and requests in a prompt and courteous manner.

• Ensure a personalized experience for VIP guests and repeat customers.

• Process room reservations through phone, email, or online booking platforms.

• Maintain accurate guest records, including payment details and special requests.

• Assign rooms based on guest preferences and hotel availability.

• Handle billing, payments, and refunds securely and accurately.

• Prepare daily reports for the front desk and management.

• Ensure all front desk equipment and supplies are well-maintained.

• Handle phone calls, emails, and guest correspondence professionally.

• Coordinate with housekeeping and maintenance to ensure rooms are ready for guests.

• Work closely with concierge and bell staff to facilitate guest services.

• Relay important hotel policies, promotions, and events to guests and staff.

• Maintaining and managing reservations, including modifications and cancellations, is a part of their daily duties.

• Being familiar with and executing emergency procedures, such as fire alarms or medical emergencies.

• Performing cashier related functions like posting charges to guest accounts, raising paid out's, currency exchange,
