Job Title: New Business Intake Coordinator
Reports To: Director of Sales Operations

Position SummaryAs a New Business Intake Coordinator, you'll play a key role in driving the growth of our business. You will manage the full lifecycle of incoming Requests for Proposal (RFPs)—from the moment they arrive to the successful delivery of polished, compliant proposals. This role offers the opportunity to work cross-functionally with sales, underwriting, and operations, helping ensure that every submission reflects the accuracy, professionalism, and service excellence our partners expect.
What You'll DoRFP Intake & Tracking
- Serve as the first point of contact for new RFPs, monitoring the dedicated inbox daily.
- Accurately log and track all RFPs in and the CRM.
- Assign and categorize submissions to ensure smooth workflow across teams.
Data Review & Pricing Entry
- Extract and analyze key data from RFPs.
- Enter information into pricing calculators with precision.
- Double-check calculations to ensure 100% accuracy before advancing proposals.
Proposal Preparation
- Translate finalized pricing into professional, branded proposals.
- Ensure documents align with company standards for accuracy, compliance, and presentation.
Proposal Submission & Follow-Up
- Deliver completed proposals directly to brokers or clients.
- Track all outgoing proposals and follow up to confirm receipt.
Documentation & Continuous Improvement
- Keep organized records of RFPs, proposals, and related communications.
- Partner with sales and operations to identify ways to improve efficiency and reduce turnaround time.
- Contribute to building stronger workflows that support company growth.
- 2+ years of experience in administration, sales support, or proposal coordination (insurance, healthcare, or benefits industry experience a plus).
- Strong organizational skills with the ability to manage multiple priorities at once.
- Proficiency with CRM tools (Salesforce, HubSpot) and project management platforms preferred).
- Advanced Microsoft Excel and Word skills.
- Sharp attention to detail with a passion for accuracy.
