Job Overview:
We are seeking an Intake Specialist for a full-time role at a boutique trial law firm specializing in litigating cases that address some of the most important issues in society. The ideal candidate for this position is focused, capable of managing a high-volume and time-sensitive workflow efficiently, and possesses strong interpersonal skills to accurately screen potential client calls. This role requires the ability to work both independently and collaboratively within a team environment.
Essential Duties and Responsibilities:
- Effectively communicate through phone calls, texts, chats, and emails. Continuously follow up with pending inquiries, document voice messages, and take accurate notes during initial intake calls. Collect and enter leads and client information into the case management system.
- Contact every potential client and establish rapport.
- Interview and meet with current and potential clients to address case-specific concerns, gather case facts, and obtain case documents. Conduct potential new client interviews with genuine empathy and compassion.
- Persistently monitor all potential new client inquiries (email, internet, phone, and referrals).
- Update logs and reporting systems to accurately reflect the status of all potential new clients and enter client contact information with precision.
- Evaluate prospective client inquiries and phone calls, analyze their case fit, and ensure they feel seen and heard.
- Schedule and calendar appointments, meetings, and phone calls with prospective clients.
- Communicate with clients, witnesses, and other outside parties as requested or approved by attorneys.
- Work with attorneys to complete the initial consultation process and execute tasks as instructed by the supervising attorney.
- Assist attorneys with administrative tasks related to opening new cases and maintaining databases.
- Update case files daily and organize electronic case files to ensure documents are easily and promptly accessible to all team members.
- Perform other duties and responsibilities as assigned.
Knowledge, Skills, and Experience:
- Minimum of 2 years of experience in a legal setting.
- Bilingual in Spanish is a plus.
- Self-starter with the ability to effectively manage a high volume of calls in a fast-paced environment.
- Proficient in Microsoft Office Suite applications.
- Commitment to helping clients by providing an easier, less stressful legal experience.
- Ability to document and meet deadlines and remain self-accountable for completing priority tasks.
- Excellent written and interpersonal communication skills.
- Strong organizational skills with the ability to prioritize project requirements.
- Can-do attitude and flexible approach.
- Ability to work independently and collaboratively with attorneys, paralegals, and other staff members.
- Capable of performing complex tasks that may be highly confidential or sensitive in nature, requiring discretion and diplomacy.
- Strong analytical and problem-solving skills.
- Prior customer service experience is preferred (e.g., serving, call center, etc.).
- Willingness to work overtime and travel as needed.
