People Operations Shared Services Supervisor

The People Operations Shared Services Supervisor oversees centralized HR service delivery across the organization, ensuring efficient handling of end-to-end People Operations processes, from recruitment to separation. This role supervises HR administration, HRIS, records management, timekeeping, employee services, and provides structured Employee Relations (ER) administrative support, ensuring compliance, documentation accuracy, and consistent policy implementation.
Key Responsibilities
Shared Services & Operations Management
- Supervise day-to-day People Operations activities to ensure efficient, accurate, and compliant HR service delivery.
- Oversee recruitment administration, onboarding coordination, HRIS updates, employee movement processing, and records management.
- Maintain and monitor service-level agreements (SLAs) and standard operating procedures (SOPs).
- Ensure unified and consistent implementation of policies and HR processes.
- Supervise recruitment administrative tasks: job postings, applicant coordination, interview scheduling, and pre-employment requirements.
- Support hiring managers by ensuring organized and timely recruitment workflows.
- Oversee onboarding and orientation schedules, preparation of contracts, and issuance of HR-related documents.
- Supervise timekeeping validations, attendance monitoring, payroll coordination inputs, and processing of employee status changes.
- Oversee proper processing of promotions, transfers, regularization, disciplinary actions, and separations.
Employee Relations (ER) Support
- Prepare administrative ER documents such as Notices to Explain (NTE), hearing invitations, memos, and disciplinary notices.
- Assist in documenting case details, organizing files, and maintaining accurate ER logs and trackers.
- Coordinate administrative hearings (scheduling, documentation, and communication with involved parties).
- Ensure ER documentation adheres to labor standards and internal policies.
- Provide People Ops support during fact-finding by gathering documents, attendance records, and employment history as needed.
- Maintain confidentiality and integrity of all ER records and sensitive information.
Compliance & Records Management
- Ensure compliance with Philippine labor laws and statutory requirements (SSS, PhilHealth, Pag-IBIG, BIR).
- Oversee the maintenance and accuracy of 201 files, HR documents, and digital records.
- Support government reporting and audits.
Process Improvement & HR Data Management
- Review and streamline People Operations processes for efficiency and accuracy.
- Support HRIS optimization and digital transformation initiatives.
- Prepare HR reports and metrics (hiring data, turnover, attendance trends, ER case summaries, People Ops dashboards).
Team Leadership
- Supervise and mentor People Operations staff to ensure smooth operations and consistent service quality.
- Provide coaching, performance monitoring, training, and regular guidance.
- Foster a culture of service excellence, consistency, and continuous improvement.
Qualifications
- Bachelor's degree in Human Resources, Psychology, Business Administration, or equivalent.
- Minimum 3–5 years HR experience, with 1–2 years supervisory experience.
- Strong understanding of HR operations, documentation, ER support, and compliance.
- Knowledge of Philippine labor laws and statutory guidelines.
- Proficient in HRIS, document management, MS Office/Google Workspace.
- Strong communication skills, attention to detail, and ability to work in a high-volume, fast-paced environment.
