Job Summary:
The Administrative Officer is responsible for providing administrative support to ensure efficient operation of the office. This role also includes handling payroll functions to ensure timely and accurate salary processing for HQ employees. The ideal candidate is organized, detail-oriented, and capable of multitasking in a fast-paced environment.
Key Responsibilities:
Administrative Tasks:
- Manage office supplies inventory and place orders as necessary
- Maintain physical and digital filing systems
- Assist in organizing company events, meetings, and trainings
- Handle incoming and outgoing correspondence (emails, calls, mail, etc.)
- Support various departments with administrative tasks as needed
- Ensure the office is clean, organized, and properly maintained
Payroll Duties:
- Prepare and process payroll accurately and on time
- Maintain employee records related to attendance, leaves, and overtime
- Calculate salary adjustments, bonuses, deductions, and benefits
- Coordinate with Finance or Accounting to ensure correct disbursement
- Ensure compliance with labor laws and internal payroll policies
- Respond to employee inquiries regarding payroll and deductions
Qualifications:
- Bachelor's degree in Business Administration, Human Resources, or a related field
- Proven experience in administrative roles, with payroll experience preferred
- Proficient in Microsoft Office (Word, Excel, Outlook) and payroll software
- Strong attention to detail and excellent organizational skills
- Good communication and interpersonal skills
- Ability to maintain confidentiality and handle sensitive information
