Job Title: DOCUMENTATION and Compliance Officer
Department: ADMIN Department
I- QUALIFICATION
Bachelor's degree in Business Administration, Legal Studies, or related field.
In – depth knowledge of real estate documentation requirements, regulations,
and best practices.
Proven experience for 5 years in a documentation role within the real estate
industry, with at least 5 years in a supervisory or leadership capacity.
Strong attention to detail and accuracy, with the ability to review and analyze
complex documents effectively.
Excellent communication and interpersonal skills, with the ability to effectively
collaborate with cross – functional teams.
Proficiency in document management software and Microsoft Office Suite.
Experience working with real estate transaction management.
Knowledge of real estate law and contract principles.
II – SCOPE OF POSITION
The Documentation Supervisor will oversee the creation, management, and maintenance of all
documentation related to our real estate transactions. The ideal candidate will have a strong
organizational skill, a keen eye for accuracy, and the ability to lead a team to ensure compliance with
regulatory requirements and company standard.
III- KEY RESPONSIBILITIES
- Responsible for preparing, reviewing, and processing all documentation related to real estate
transactions, including sales agreements, leases, deeds, and title documents.
- Develop and implement documentation policies and procedures to ensure compliance with
legal regulations and company guidelines.
- Coordinate with internal departments, external partners, and legal counsel to gather necessary
information and ensure accuracy and completeness of documentation.
- Conduct regular audits to assess documentation quality, identify, discrepancies, and implement
corrective actions as needed.
- Monitor industry trends and regulatory changes to ensure documentation processes remain up
– to – date and compliant.
- Collaborate with management to streamline documentation workflows and improve efficiency
and productivity.
- Serve as a point of contact for internal and external stakeholders regarding documentation
inquiries and requests.
- Ensure compliance for regulatory agencies on the Local Government Unit and National
Government are met such as Mayor's Permit, BIR Permits/Certificate, coordinate with the
accounting for SEC filings, Barangay Clearance, Benefits (SSS, PhilHealth, Pag-Ibig), and other
documents and permits essential in running a business.
