Job Summary

We are seeking a highly organized and responsive Administrative Assistant to support the smooth execution of daily operations across HR, systems, and administrative functions. This role plays a vital part in managing team member onboarding, maintaining accurate records, coordinating meetings, and ensuring software and tech systems are properly tracked and aligned.

Duties and Responsibilities

  • Coordinate job postings, track candidates, and support recruitment and onboarding activities
  • Prepare HR documentation including offer letters and signature coordination for onboarding paperwork
  • Facilitate onboarding and offboarding, including system setup, creation of software user accounts, and training logistics
  • Maintain up-to-date and confidential employee records, rosters, and team member profiles in the CRM (Salesforce)
  • Manage scheduling of meetings, events, interviews, and virtual appointments for team members
  • Create and manage user accounts for platforms such as Google Workspace, Microsoft, Adobe, Dropbox, Salesforce, and Trainual
  • Perform monthly audits of software subscriptions by cross-referencing billing, active accounts, and the active team roster
  • Support data entry, updates, and reporting within the CRM system to ensure operational accuracy
  • Assist with implementing and maintaining HR policies, training initiatives, and compliance tracking
  • Organize digital and physical records, track deadlines, and support ongoing administrative tasks to enhance workflow efficiency

Required Skills and Abilities

  • Exceptional organizational skills and high attention to detail
  • Strong written and verbal communication skills
  • Technical proficiency with workplace tools such as Google Workspace, Microsoft Office, Salesforce, Dropbox, and Adobe
  • Experience using Salesforce is highly preferred
  • Demonstrated reliability, responsiveness, and accountability in support roles
  • Experience with data entry and record management in CRM or HR systems
  • Ability to handle sensitive employee information with professionalism and confidentiality
  • Ability to work US hours, with flexibility once independently working in role based on team preferences.

Preferred Qualifications

  • Prior experience in HR support, administrative coordination, or SaaS-based environments
  • Familiarity with Trainual or similar learning/knowledge management platforms
  • Experience coordinating onboarding/offboarding and managing system access
