Full-Time | Office-Based

The Right Outsource is expanding its finance and logistics support team We are hiring a detail-oriented Accounts Administrator
 to support our client, a reputable freight forwarding and logistics company based in Australia.

If you have strong accounting skills and enjoy working in a fast-paced environment, this role is for you.

Job Responsibilities

  • Prepare and issue 
    accurate and timely invoices
     for freight forwarding jobs.
  • Process 
    supplier invoices
     (transport providers, depots, customs brokers, etc.) within required timelines.
  • Monitor and update 
    Work in Progress (WIPs)
     to ensure all jobs are invoiced or correctly noted for weekly reporting.
  • Send 
    Statements of Account (SOAs)
     to clients and 
    follow up on outstanding debtor accounts
    .
  • Perform 
    collection activities
     such as email/phone follow-ups for overdue accounts.
  • Issue 
    rate increase notices
     at least 30 days before effectivity.
  • Handle 
    credit applications
     for new suppliers/service providers.
  • Create and maintain 
    customer master files
     in the system.
  • Process 
    credit/overcharge requests
     based on rate cards and supporting documents.
  • Complete 
    monthly GST reconciliation
     ahead of internal deadlines.
  • Verify that payments in accounting systems match bank/payment records.
  • Perform 
    contra and account clean-up
     for suppliers and customers before month-end.
  • Maintain accurate financial and billing records using Xero, Expedient, and internal tools.

Job Qualifications

  • Experience in 
    accounts administration
     or 
    finance
    , ideally within 
    freight forwarding, shipping, or logistics
     (preferred but not required).
  • High attention to detail and strong accuracy in data entry.
  • Experience using accounting software (
    Xero is an advantage
    ).
  • Ability to manage deadlines and multitask effectively.
  • Strong communication skills and ability to work with international teams.
  • Willingness to learn and adapt to client-specific processes.
