II JOB SUMMARY
The Project Coordinator plays a vital role in supporting our Sydney-based project and site teams. Working closely with the administration and construction teams, this role ensures smooth coordination and documentation management across multiple digital platforms, including Premier, Procore, and 1Breadcrumb. The successful candidate will demonstrate excellent attention to detail, adaptability, and the ability to multitask in a fast-paced environment.
This position offers an exciting opportunity to collaborate remotely with an Australian construction firm, contributing to the efficiency and success of multiple projects.
III WHAT YOU'LL DO
Premier Construction Software:
· Arrange vendor setup for new contractors, suppliers, and consultants.
· Assist with data entry and setup of subcontracts and PSA agreements, including uploading and tracking compliance documentation.
· Support invoice management by assisting with queries and liaising with the project team to resolve issues.
Procore:
· Upload and manage project documentation such as drawings, specifications, and reports across relevant modules.
· Conduct fortnightly compliance checks with consultants to ensure the latest revisions of drawings and reports are uploaded.
· Support project setup, including Directory configuration and user invitations; perform fortnightly audits to ensure alignment with company standards.
· Assist in preparing draft tender packages, coordinating follow-ups with tenderers, and updating tender status.
· Review project photos weekly to ensure proper categorisation and filing.
· Assist in setting up Action Plans in collaboration with the project team.
· Provide onboarding and training support to subcontractors and consultants on Procore usage.
1Breadcrumb:
· Provide weekly reports for each site covering inductions, permits, card expirations, evacuations, and safety documentation.
· Ensure subcontractors are displayed and invited in 1Breadcrumb within 24 hours of Procore setup.
· Coordinate the timely upload and approval of SWMS, SDSs, and plant inductions.
Additional Responsibilities:
· Provide general administrative support to project managers and site supervisors.
· Maintain and organise digital filing systems and document control.
· Communicate with subcontractors and suppliers regarding documentation and compliance requirements.
IV REQUIREMENTS
· Must be able to communicate effectively in English, both verbally and in writing.
· Proven experience in administrative or coordination roles; exposure to construction or engineering projects is a plus but not required.
· Proficiency in digital tools and document management platforms (experience with Premier, Procore, or 1Breadcrumb highly regarded).
· Strong organisational skills with the ability to multitask and prioritise workload effectively.
· Self-motivated, adaptable, and focused, with a proactive approach to problem-solving.
· Ability to collaborate effectively with remote teams across different time zones.
